What are the responsibilities and job description for the Volunteer and Food Pantry Coordinator position at North Marin Community Services?
Pay rate: $30 -$32/hour ($31.50 - $33.60 if bilingual in Spanish/ English) with $250 sign-on bonus upon hire. Part time, non-exempt hourly. 16 hours per week. Schedule is Tuesday 8am-4pm onsite at 1907 Novato Blvd; other hours are flexible (both onsite and remote in accordance with NMCS policies).

The Volunteer and Food Pantry Coordinator is responsible for overseeing the Volunteer Program with assistance from HR Director; cultivating relationships with food pantry volunteers and participants, organizing activities with San Francisco Marin Food Bank, tracking food pantry attendance and coordinating weekly Tuesday food pantry, and working closely with Lead Food Pantry Volunteers. Other duties assigned, including donor relations
Essential Functions:
Volunteer Coordination:
- With the assistance of the HR Director, provide oversight to the Volunteer Program
- Manage VolunteerMatters (volunteer management database); post opportunities, monitor applications, send out communications to volunteers
- Source and recruit volunteers through various techniques (databases, e-mail, social media etc.)
- Provide volunteer orientation and training.
- Serve as primary contact and facilitator for volunteers in search of opportunities and provide support and guidance.
- Communicate frequently with volunteers to ensure they are satisfied and well-placed
- Coordinate agency-wide and program-specific activities and events for Volunteer Appreciation Week (annually in April)
- Maintain Volunteer Handbook and any training/orientation materials for specific volunteer opportunities
Food Pantry Coordination:
- Coordinates the Tuesday Food Pantry with two shifts of 10-15 volunteers per shift, in alignment with SF Marin Food Bank (SFMFB) guidelines and NMCS Food Pantry Program Manual. Collaborates with HR to manage volunteer relations and scheduling.
- Helps manage food pantry volunteer orientation
- Oversight of food pantry setup and take down.
- Maintains internal spreadsheets and acts as the primary NMCS Food Pantry representative for delivery and invoice changes.
- Maintains SFMFB records in a locked cabinet in compliance with SFMFB data retention requirements.
- Works with Operations and Administration staff to support food pantry distribution, enrollments, and food pantry data tracking.
- Maintains strong relations with the Case Management staff and all departments.
- Communicate important updates to volunteers via email and oversees a smooth, safe experience for participants navigating the food pantry.
Other:
- Job may include walking up and down stairs, standing, lifting and moving items of up to 25 lbs.
- Additional duties as assigned including partnering with Development Department for donor stewardship.
Required Qualifications:
- Fluent in English written and spoken
- Three years of experience working with volunteers, donors and/or community members.
- Strong customer service experience
- Minimum high school diploma or equivalent
- Strong communication skills
- Able to exercise good judgment, conflict resolution skills, and tact in dealing with volunteers and participants.
- Microsoft Office (Word, Excel, Outlook and SharePoint); comfortable with databases.
- Experience coordinating projects and identifying areas to increase impact.
- Able to quickly prioritize work
- Able to work well with people, establish cooperative working relationships with staff and volunteers at all levels within and outside the organization.
- Able to take initiative and be self-motivated.
- Knowledge of general office procedures.
- CA Food Handler card (willing to train after hire).
Preferred Qualifications:
- Knowledge of Marin County resources and partner agencies
- Bilingual in Spanish
Conditions of Hire:
- Fully vaccinated against COVID-19 unless granted a medical or religious exemption.
- Pre-employment health exam including proof of vaccinations and TB test clearance.
- Criminal record clearance or exemption from California Department of Social Services. All convictions other than minor traffic violations require an exemption, including convictions that have been expunged.
