Position Description
- Responsible for planning, implementing and evaluating programs, activities and classes for senior members who are 55 years of age and older. The position is responsible for overseeing activities and details, and measuring the overall success of senior programs. Duties will consist of managing various administrative tasks and ensuring programs meet the senior center’s goals. Individual will also strive to create positive experiences for all participants and repeat best practices for future programs.
Supervision Required:
Performed under the direct supervision of the Executive Director.
Responsibilities
- Responsible for keeping the monthly Senior Center calendar up-to-date.
- Foster a positive, collaborative work environment.
- Monitor all classes and programs keeping accurate details.
- Make regular announcements during classes to promote events, programs, and trips.
- Announce and recognize sponsorships at special events.
- Speaker for special events in the absence of the Executive Director.
- Assist with office staff in regards in regards to execution of all programs and classes.
- Plan and coordinate all programs, classes, activities, trips and guest speakers.
- Coordinate details for all off-site trips, communicating directly with all venues and keeping detailed records up to date at all times.
- Make daily agenda for outgoing trips.
- Keep track of invoices for day trips and submit to Executive Director in a timely manner.
- Assist in sending off trips and welcoming back of members to get feedback and connect with the members.
- Communicate and coordinate with the Executive Director and all contributors to the newsletter determining in advance what needs to be published each month and making sure all materials are received by publishing deadlines.
- Maintain consistent communication with external vendors and organizers.
- Assist in marketing and outreach efforts.
- Design, write and publish the monthly newsletter, on a timely schedule.
- Design various flyers, signs, and other materials as requested.
- Photograph events, activities, members, guests and maintaining photo files.
- Book outside tickets, reservations and entertainment for events and activities.
- Back up staff member for newsletter mailing.
- Responsible for facilitating set-up for all on-site programs and events.
- Greet, assist, and direct the public, members and/or visitors to the appropriate staff person.
- Balance cash register at the end of every business day (shared responsibility in the absence of Office Manager).
- Provide support to front desk responsibilities.
- Email weekly press releases to Valley Breeze or other local newspapers.
- Organize sign-up sheets for classes, programs and special presentations.
- Supervise weekly meal site requests, orders and deposit. Maintain accuracy for weekly and monthly reports. (Shared duties with meal site assistant).
- Prepare, coordinate and support weekly evening bingo. (Shared duties with other staff members).
- Prepare, coordinate and support all fundraising events. (Shared duties with other staff members).
- Perform other job- related duties as assigned by Executive Director.
General Office
- Provide office support services in order to ensure efficiency and effectiveness within the Center.
- Act as a back-up to Front Desk Coordinator for answering phones and greeting visitors/members.
- Receive, direct and relay telephone messages and fax messages.
- Assist with the activities, services and other sign up programs. This will include verifying payments, maintaining waitlists and handling cancellations.
- Handle and process PO’s for Programs (Entertainment, Trips, etc.).
- Send/Receive faxes.
Skills, Experience and Training
- Must have design and newsletter layout experience in Microsoft Publisher.
- Must have excellent grammar and demonstrated writing abilities.
- Must have a working knowledge and skills in Microsoft Office computer programs and usage.
- Must have experience with multi-line telephone systems.
- Two or more year’s previous experience working in an office environment.
- Must have a strong working knowledge of standard office equipment and applications.
- Prefer prior experience and understanding of volunteer programs and/or non-profit organizations.

Pay: $52,000.00 - $55,000.00 per year
