About Us:

We’re looking for an experienced and highly organized Office Manager to oversee daily operations, manage a team of massage therapists, and lead front desk staff.
Position will require 30-35 hours per week and periodic evening and weekend coverage (specifically Sunday).
Key Responsibilities:
Team Management:
- Supervise and support a team of 15-20 Licensed Massage Therapists (LMTs), Estheticians and part-time front desk staff.
- Manage schedules, ensuring adequate coverage and optimizing efficiency while balancing therapist preferences.
- Foster a positive, collaborative work culture, encouraging professionalism, teamwork, and accountability.
- Conduct regular team meetings, provide performance feedback, and handle any conflicts or disciplinary actions.
Operational Oversight:
- Oversee daily spa operations, ensuring all systems and processes run smoothly.
- Manage scheduling software, appointments, and staff availability to maximize bookings and minimize conflicts.
- Coordinate with therapists on service offerings, client needs, and special requests.
- Monitor inventory and order supplies as needed to maintain a well-stocked and organized facility.
- Ensure compliance with state regulations, licensing requirements, and safety protocols.
Customer Service & Front Desk Leadership:
- Lead by example in delivering exceptional customer service. *This position requires front desk coverage.
- Train and supervise front desk staff, ensuring professionalism, efficiency, and customer focus.
- Handle complex scheduling challenges and resolve client concerns with empathy and professionalism.
Administrative Duties:
- Manage payroll preparation, staff schedules, and time tracking.
- Process payments, handle billing, and reconcile daily transactions.
- Prepare reports on business performance, including appointment metrics, revenue, and staff productivity.
Problem Solving & Adaptability:
- Address day-to-day challenges, from staffing issues to last-minute client requests, with creative solutions.
- Stay calm and resourceful in a fast-paced environment, adjusting priorities as needed.
Qualifications:
- Experience: Minimum of 3 years in office management. Experience in a spa, wellness, or service-based environment would be ideal.
- Leadership Skills: Proven ability to lead, motivate, and manage a diverse team.
- Organizational Skills: Quick learner, with strong attention to detail, ability to juggle multiple priorities, and maintain a structured, efficient workflow.
- Customer Service: Excellent interpersonal skills and a client-focused mindset.
- Tech Savvy: Proficiency in scheduling and booking software, as well as Microsoft Office or Google Workspace.
- Problem-Solving Abilities: Resourceful and proactive, able to think on your feet and make decisions under pressure.
- Reliability: Consistent, dependable, and committed to supporting both staff and clients.
