What are the responsibilities and job description for the Administrative Assistant position at North Shore Pain Management?
North Shore Pain Management is a growing medical practice providing comprehensive pain management services in the communities north of Boston. We are looking for a bright and energetic person to fill the role of administrative assistant. This role will provide direct administrative help to the Billing & Insurance Manager and Senior Administrative Assistant. The candidate will possess great attention to detail, time management, ability to multi-task and prioritize, and excellent verbal and written communicate skills via phone, email, text. Other qualities include: integrity, high ethical standards, and ability to maintain confidentiality.
Job Duties include, but not limited to:
· Inter-office communication: daily absence emails, maintaining phone system extensions and distributing updated phone extension lists to employees
· Advertisement/Marketing: Daily export of patient emails from Epic to our Web Master
· Maintain CAQH profiles for all providers and attest address locations every 3 months
· Maintain company and provider listings in insurance databases and directories
· Mail: Sort and distribute, Maintain postage machine
· Order office supplies: Amazon; Bj’s; WB Mason; CPT, HCPCS, ICD10, Anesthesia Crosswalk books; keep breakroom supplies stocked; ordering name tags
· Birthday Calendar: Track employee birthdays, give cards/gift cards to employees, purchase/deliver monthly birthday cakes to correct office
· Provider Meetings: keep minutes binder up-to-date
· Assist with communication with IT and building management regarding issues in the office
· Assist with Updating/maintaining policies and Certifications: liability, corporate Annual Reports, fluoro certification for physicians, AAAASF for inspections and reporting, malpractice policies
· Assist the Billing & Insurance Manager and Senior Administrative Assistant with new projects or tasks as needed
North Shore Pain Management has 3 offices (2 in Beverly and 1 in Woburn). Some travel between offices will be required and mileage will be reimbursed.
Position is Monday – Friday, 8am-4:30pm. Rate: $22-$25, commensurate with experience. Please submit a resume and cover letter.
Requirements:
· Education: Minimum of a High School Diploma or Equivalent (College Grad preferred)
· Experience: Minimum of 3 years administrative experience. Previous experience in a medical office/with knowledge of insurance, Medicare, MIPs, etc. preferred
· Technical Skills: Microsoft Office, Experience with QuickBooks and EPIC a plus but will train
· In-person: Must have reliable transportation to/from work
· Must have the ability to work collaboratively and independently, when needed
