Job Summary:
The Archived Records Specialist is responsible for managing, retrieving, and maintaining military service records to ensure service members, veterans, and government agencies have access to critical historical data. This role involves working with Interactive Personnel Electronic Records Management System (iPERMS) and other military personnel tracking databases to provide timely and accurate record retrieval services.
Key Responsibilities:
- Retrieve and process medical and personnel records for current and former service members using iPERMS, HRR, and other archival databases
- Respond to record requests from the Department of Veterans Affairs (DVA), ARNG leadership, and legal representatives
- Ensure all records are maintained in compliance with HIPAA, ARNG data retention policies, and federal privacy laws
- Conduct quality control checks to verify record accuracy, completeness, and compliance with retention standards
- Process requests for separation documents, military service verification, and retirement records within 5 business days of receipt
- Maintain detailed logs of record retrieval activities and prepare weekly reports for government oversight
- Manage U.S. postal deliveries and internal correspondence related to military records
- Support archival research efforts by compiling data for historical reports and leadership inquiries
- Train and assist service members in retrieving their records electronically through military-approved systems
- Bachelor’s degree in Records Management, Library Science, History, or a related field (preferred)
- 2 years of experience in military records management, human resources, or administrative support
- Proficiency in iPERMS, HRR, SAFE, and DoD records retention systems
- Strong understanding of federal and military privacy laws, including HIPAA and ARNG retention policies
- Exceptional attention to detail and ability to manage large volumes of records
- Ability to work with sensitive and confidential data in a secure environment
