POSITION PURPOSE:
The Proposal Coordinator will be responsible and accountable for collaborating with the Proposal Manager for creating templates, developing content, formatting, and producing responses to Requests for Proposals (RFP), Requests for Information (RFI), Sources Sought, and other proposal materials. This includes technical editing, electronic and print production, presentation development, and written assignments under tight deadlines.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Analyzing RFPs for format and content requirements
- Tracking amendments/modifications to solicitations and distributing to proposal team in conjunction with the Proposal Manager
- Developing technical proposal templates and style guides in coordination with the Proposal Manager
- Developing Resume and Past Performance templates and content
- Coordinating Past Performance Questionnaire (PPQ) submittal
- Tailoring resumes and project descriptions to align with proposal requirements
- Reviewing, incorporating, and formatting information from subject matter experts and team partners
- Preparing/submitting questions and reviewing responses posted for solicitations/proposals in progress
- Providing word processing/graphics support draft and final document revisions
- Creates proposal files for color team reviews and final production/delivery
- Coordinating proposal production & delivery with Proposal Manager
- Maintains/updates electronic files and records of proposals upon submittal
ADDITIONAL DUTIES AND RESPONSIBILITIES:
- Populate proposal library with final sections and graphics from proposals.
- Assist with the development and submittal of sources sought requests.
- Attend group and company meetings.
MINIMUM QUALIFICATIONS:
Education and Experience:
- 4-year degree from an accredited college or university with a preferred concentration in Communications, English, International Business, Business Administration, Graphics & Design, or Marketing
- 3-5 years of experience in proposal formatting and editing.
- Strong writing and editing skills.
- Excellent organizational and time management skills.
- Strong analytical and problem-solving skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Knowledge of government procurement regulations and processes.
- Ability to work independently and as part of a team.
- Excellent communication and interpersonal skills.
Skills and Abilities:
- Excellent attention to detail
- Good judgement and decision-making.
- Must be a self-starter with the ability to manage multiple priorities/tasks, and possess strong organizational skills.
- Must be able to independently manage a challenging workload when faced with unexpected changes in priorities and deadlines.
- Understanding of, and experience with the Federal procurement process and regulations (e.g. FAR).
- Possess strong time management and prioritization skills
- Expertise in Microsoft Office Suite of Products (e.g., Word, Excel, PowerPoint).
- Familiar with government proposal development and processes.
- Familiar with multiple proposal types such as: competitive, sole source, and follow-on
- Ability to support multiple proposals simultaneously.
- Ability to work various schedules to meet deadlines, which may include nights, weekends, and holidays at times.
PREFERRED QUALIFICATIONS:
- Six (6) or more months of experience as a Proposal Coordinator in federal government contracting and familiarity with industry terms, contracts, deliverables, and processes.
- Experience and knowledge of Illustrator or other graphic programs are considered highly favorable.
- AEC proposals are highly desired.
PHYSICAL DEMANDS:
- While performing the duties of this job, the employee will be sitting for long periods with the use of a keyboard for typing, but will also be required to stand, walk, and communicate with others.
