Description
This position provides administrative and program support for the New College Foundation Board of Directors. This role includes supervising administrative staff and requires a commitment to the mission and vision of the New College Foundation, and New College of Florida.
Examples of Duties
- Serves as a primary point of contact for Foundation Board members;
- Coordinates Board communication and manages all documents related to Board business;
- Completes all arrangements required for virtual and in-person Board meetings including RSVPs, audio-visual equipment, and refreshments / meal planning;
- Attends all Board of Director meetings, including Foundation Committee meetings, and creates meeting agendas and minutes;
- Maintains Corporate Banking Resolutions and insurance policies specific to the Foundation; this requires coordinating with bank personnel and insurance professionals;
- Works closely with VP of Advancement / Executive Director, Chair of Board of Directors, VP of Legal Affairs, and College support staff to schedule meetings, ensure Board compliance as required by Foundation Bylaws and Florida Law, and track Board member terms of service;
- Works closely with Foundation CFO and Accounting staff to reconcile Foundation P-Card payments;
- Facilitates preparation for new Director orientation session in January and assembles yearly Board manual to include updated calendars, committee rosters, directories, and essential documents;
- Proofreads and drafts correspondence and print materials;
- Handles confidential information for Foundation staff and the Board of Directors;
- Supports Foundation fundraising events, including those outside regular work hours;
- Monitors the Foundation email account and responds to inquiries promptly;
- Retains responsibilities associated with Fiscal Liaison role - coordinating HR transactions and timesheets; and continues to submit receipts and reports for P-Card reconciliation.
Minimum Qualifications
Professional experience working in a fundraising environment.
