What are the responsibilities and job description for the Receptionist/Administrative Assistant position at Northeast Indiana Community Corrections?
Essential Functions/Responsibilities:
- Type and/or enter on computer, copy, distribute and file various documents as assigned. Enter new cases and update existing cases on computer.
- Answer telephone and greet office visitors, provide information and assistance, take messages and schedule appointments.
- Redirect anti-social attitudes/beliefs and affirm pro-social attitudes and beliefs.
- Be the community corrections representative in the court system when needed and answer all questions pertaining to community corrections that the court may have.
- Assist the other staff with his/her duties when asked.
- Collect, open, sort, and distribute mail to appropriate personnel, and process outgoing mail.
- Scan all appropriate files into the Community Corrections computer system.
- Organize DHB hearings.
- Enter necessary data into case management software such as community service hours, messages, or anything pertaining to a defendant on Steuben County Community Corrections.
- Maintain cases in the case management system.
- Observe drug screens and conduct PBT tests as needed and maintain those records.
- Maintain the “Doing Your Community Service” sheets in the courts and the Community Corrections lobby.
- Report any messages of significance to the appropriate people in an attempt to keep all staff up to date on current events.
- Attend weekly staffing.
- Other duties as assigned by immediate supervisor or Executive Director.
Qualifications:
Education and/or Experience Required at Entry: Office experience, High school graduate / GED
Skills, Abilities, Special Licenses or Certificate: Multi-tasking, Organized, Self-Motivated, Basic Computer skills, Ability and Willingness to Learn. Understand and use the principles of evidence-based practices as a guide in interactions with program participants.
