Job Overview
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will serve as a key point of contact for both internal and external stakeholders, ensuring that the office runs smoothly and efficiently. This role requires a blend of administrative expertise, customer support skills, and the ability to manage multiple tasks simultaneously.
Duties
- Manage office operations, including scheduling meetings, maintaining files, and overseeing clerical tasks.
- Maintain online databases/records and assist Business Manager in running payroll
- Register students and distribute welcome materials
- Proofread documents for accuracy and clarity before distribution.
- Utilize computerized systems to maintain records, track office supplies, and manage correspondence.
- Serve as the first point of contact for customer inquiries, providing exceptional front desk service.
- Schedule and reschedule lessons as needed
- Initiate and collect payment from clients
- Assist in training new staff members on office protocols and procedures.
- Act as point person for facility difficulties, studio schedules and keys, and other faculty issues. Prepare studio schedule recommendations each school year and summer.
- Order and stock office and cleaning supplies.
- Manage the West Music account. Place weekly book orders and maintain inventory database. Sell books and merchandise.
- Write/send press releases in cooperation with the Assistant Director of Programming.
Experience
- Proven experience in office management or a similar administrative role is preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent proofreading abilities with attention to detail in written communication.
- Proficiency in using computer software for document creation, data entry, and file management.
- Previous experience in customer support or front desk operations is a plus.
- Ability to work independently as well as part of a team
- Knowledge of music/musical instruments preferred

Job Type: Full-time
Pay: From $17.00 per hour
Expected hours: 35 – 40 per week
