Department: Purchasing & Distribution
Reports To: Supervisor, Procurement
LOCATION: Green Bay
STANDARD HOURS: 15-20 hours, 3-4 days a week. Flexibility required to include other hours, as necessary; Schedule to be determined at time of hire.
PAY RANGE: $19.68 - $22.46 per hour
- Salaries/Wages for all finalists (internal and external) will be placed within the range based upon education, experiences, current wages, and internal equity.
POSITION SUMMARY
Assist the Procurement team with the procurement of supplies and services in all phases of the procurement process. Oversee and maintain the order management function and key performance indicators.
ESSENTIAL FUNCTIONS
- Oversee and maintain the order management process and supplier database.
- Assist the State and independent auditors when reviewing purchasing processes and functions.
- Perform audits, reconcile accounts & invoices, and assess supplier costs in bids and proposals.
- Assist in developing various operational policies and procedures within the framework of state purchasing rules and regulations.
- Assist the team with various aspects of the Procurement process to include, administer and maintain bid posting and vendor notification systems, including internal electronic workflow routing systems for purchase requisitions, requisition approval, purchase order creation, and other duties as assigned.
- Research and determine qualified sources of supply for bidding and assessing supplier capabilities.
- Compile and maintain monthly and annual performance metrics for analysis and reporting.
- Provide assistance to departments on purchase order and invoice discrepancies.
- Assist in testing and troubleshooting purchasing software systems.
- Assist in entering and maintaining contracts in the contract management system.
- Assist in documenting and maintaining standard operating procedures.
- Provide assistance to Mailroom and Printing Services when needed.
MINIMUM QUALIFICATIONS AND WORK EXPERIENCE
- Associate's Degree in Accounting, Business or related field.
- Minimum of two years of related experience.
- Microsoft Office Suite, and experience with computerized Purchasing and Accounts Payable systems.
**An equivalent combination of education and work experience may be considered.
Preferred Qualifications:
- Public purchasing certification desirable and certificates or courses in Accounts Payable preferred.

- Visual and Auditory: Ability to read documents and communicate effectively with students and staff.
- Light Lifting: Capability to lift and carry materials weighing up to 25 pounds.
