About the Opportunity JOB SUMMARY Provide a summary of the job’s primary function: Under the direction of the Associate Director for Club Sports and Esports, the Coordinator for Club Sports is responsible for assisting with developing and administrating a comprehensive Club Sports program supporting 64 teams, over 70 coaches, and over 3,000 participating students. Northeastern University has some of the most competitive Club Sports Teams in New England and is one of the largest Club Sports programs in the U.S. This position supports the Associate Director of Club Sports & eSports with the oversight of all aspects of Club Sports, including development, operations, administration, strategic planning initiatives, and ensuring compliance to regulations, policies and procedures. This position will also provide coordination on event programming, oversee participation administration, recruitment and serve as an ambassador and advocate for all Club Sport programs. The Coordinator for Club Sports is required to work on pre-determined weekends covering events, some evenings, and early mornings, and during inclement weather. MINIMUM QUALIFICATIONS Bachelor's degree is in Recreation Management, Sports Administration, Health and Physical Education, Higher Education Administration, or a related field. One to two years of experience working in a college or university setting. A Graduate Assistantship will be considered one year of experience. Ability to adapt to learning in-house systems of management/logistics/ and robust/integrated daily operations of programs/facilities. Team-oriented, self-directed, individual with strong detail orientation, and organizational and reprioritization skills. Ability to manage/lead in a variety of situations when working across an organization’s many functional areas. Communicate with clarity, tact, and diplomacy with a variety of people on the phone and in meetings, and when dealing with the public/external constituents. Work independently or within a team-focused environment, meeting deadlines and handling/taking ownership of multiple projects simultaneously. Lifting equipment ranging from 10lbs.- 400lbs. is required, with assistance from others or machinery. May require the ability to be on-call to respond to emergencies. Preferred Master's degree in Recreation Management, Sports Administration, Health and Physical Education, Higher Education Administration, or a related field. Three years of work experience in Club Sports, Campus Recreation, or Athletics at the college or university level. Experience developing student management models, grounded in student development theory. Supervision of personnel including students and temporary part-time non-student. Supervision and management of athletic facilities. Experience in the development of risk management policies and procedures. KEY RESPONSIBILITIES & ACCOUNTABILITIES Program Oversight and Operations Serves as an advisor to teams regarding all Club Sport functions/operations including oversight of; fundraising proposals, budget management, website management/troubleshooting, catalyst, event management and team administration Advises, mentors, and trains the executives of the student Club Sports Council including the scheduling of monthly meetings and semesterly meetings with Club Sports professional staff. Provides vision, mentoring, and strategic direction for the students who lead their particular club Provides customer service initiatives in line with the mission of the University; particular focus on student-centered leadership programming and how it relates to a large and diverse student community. Manages the day-to-day operations of the Club Sport in portfolio including but not limited to; travel, schedules, compliance and event oversight. Attends and facilitates scheduled meetings and training with the 64 Club Sports as necessary. Sets agenda for team meetings and determines action items. Recruits, hires, and schedules athletic trainers for all required home events and manages the allocated athletic trainer budget. Daily oversight, management, and maintenance of club sports equipment. This includes inventory management and working with athletic facilities on fixing equipment. Initial point of contact regarding contracts and renewals with external vendors or partners in portfolio. Overseeing the club sports operating account including facility expenses, team allocations, budget management, contracts requisitions, reconciliations, payroll, capital purchases and department expenses. Coordinates coach recruitment, payroll, hiring, onboarding, and training. Other job-related duties and special projects as assigned by the Associate Director of Club Sports and E-sports. Club Sports Event Management Thru marketing and promotion, increase Club Sports participation. Coordinates operational support with on-campus and external partners to execute special event programming including clinics, alumni events, annual banquets, etc. Coordinates content creation of Club Sports Office social media and monitoring of individual Clubs’ social media with the assistance of the student office marketing assistant. Develops and maintains collaborative relationships with on-campus partners including, but not limited to, Athletic Facilities, NUPD, Building Services, Sports Performance, SABO, Center for Student Involvement, and external vendors or partners. Assists with facility scheduling and updating schedule changes or cancellations in EMS scheduling management software. Compliance and Administration Oversees Club Sports travel payments for transportation, lodging, and registration fees, ensures all paperwork is properly completed, and monitors adherence to travel policies. Coordinates and schedules University van transportation. Maintains, coordinates, and updates the use of Do Sports Easy (DSE) management software for compliance, roster, event, and eligibility tracking. Performs necessary audits to ensure student and team entries are accurate. Ensures student participant eligibility requirements for Northeastern and National Sport Governing Bodies by completing roster verification forms through the University Registrar. Administer and enforce all compliance and risk management policies for Club Sports, Athletics and the University. This includes, but is not limited to, informing executives of all rules/regulations/policies, training team leaders regarding onsite risk management, issue penalties for non-compliance, enforcing team sanctions, and tracking all pertinent program data. Responsible for the daily management of the Club Sports Office email, responding to emails or forwarding them as needed. Supports events/contests/practices through the submission of facility requests and work orders.
