Job Summary
We are seeking a dedicated and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for our patients and visitors, providing exceptional customer service while managing a variety of administrative tasks. This role is crucial in ensuring the smooth operation of our medical office, supporting both patients and healthcare professionals.
Responsibilities
- Answers the telephone and responds to inquiries, directs caller to appropriate personnel, or initiates a triage slip for response by medical personnel. Answers questions about the organization and provides callers with address, directions, and other information.
- Retrieves messages from voice mail and forwards to appropriate personnel.
- Take notes and deliver messages or transfer calls to voice mail when appropriate personnel is unavailable.
- Prepares, organizes and maintains a filing system for patient charts that includes generating chart numbers, filing, and pulling charts.
- Creating CDs when requested from outside facilities, noting in the patient chart.
- May welcome on-site visitors, determine the nature of business and announce visitors to appropriate personnel.
- May register patients by verifying patient records are up to date and accurate by making the appropriate changes in the computer system and patient’s chart.
- May schedule appointments using a computerized scheduler and conduct reminder calls to all patients.
- Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes.
- Print fax cover sheets, memos, correspondence, reports, and other documents when necessary.
- Assists operational team members with entering patient and QC data into clinical computers and performing other clerical duties as needed, such as filing, photocopying and collating.
Skills
- Strong knowledge of medical office workflow practices and procedures.
- Proficiency in medical scheduling software.
- Familiarity with HIPAA regulations to ensure patient confidentiality.
- Excellent organizational skills with attention to detail.
- Bilingual abilities are a plus, enhancing communication with diverse patient populations.
- Strong interpersonal skills to foster positive relationships with patients and staff.
- Ability to multitask effectively in a fast-paced environment while maintaining professionalism.
- Proficient in using office equipment and technology related to medical administration.
