What are the responsibilities and job description for the North Slope Office Administrator position at Northern Energy Services?
Northern Energy Services is looking for an Office Administrator to work in our Deadhorse, Alaska office. This job is a three week on/three week off rotation with 12 hour days. We are a busy oilfield support contractor in need of someone detail oriented and focused to perform a variety of tasks that will ultimately allow us to bill our clients promptly and correctly.
Primary Responsibilities:
- Coding and proofing labor and equipment time entered by employees in our time capture system and correcting as needed on a daily basis
- Distributing T&M billing information for review and entering any corrections/adjustments in the appropriate system
- Maintaining employees and equipment setup in our time capture systems
- Setting up job coding following our WBS and ensuring accurate setup of the same in the accounting system
- Adding clients, contracts, contract items, and bill rates to the accounting system
- Importing and proofing weekly payroll entries prior to approving them for processing and payment.
- Scanning and/or inputting daily use/procurement tickets
- Updating log of employee separations and sending relevant information to payroll and benefits administrators to allow for timely processing
- As time allows, preparing client invoices for internal review and approval prior to submitting them to clients for approval
Qualifications:
- One year time keeping experience
- Moderately advanced skills in Excel, Outlook and Teams
- Basic skills with other Microsoft Office 365 programs
- Strong organizational skills
- Ability to establish and maintain effective communications and working relationships with employees, coworkers, and supervisors
Preferred:
- Experience with Sage 300CRE and/or project-based work
- Prior employment in a remote geographic location

This job is based in our Deadhorse, AK office and is a three week on/three week off rotation with 12 hour days. Point of hire is Anchorage or Fairbanks, AK with transportation provided to and from these points. Employees hired from outside these areas will be responsible for their own transportation to the nearest point of hire. Lodging and food are provided while on-shift.
