What are the responsibilities and job description for the Administrative Assistant position at Northern Nevada Emergency Physicians?
Major Responsibilities
The Administrative Assistant reports directly to the Executive Director and with minimal supervision, supports the Company through daily oversight of office operations and works with the Executive Director, Operations Director, Controller, Physician Leaders, Office Staff, Patients, and external parties to ensure the smooth operation of the office.
The primary duties of the position include:
1. Screening, responding to, and distributing incoming communications in person by telephone, fax, electronic mail, or postal mail.
2. Recording of all company checks received.
3. Maintaining electronic lists in SharePoint as needed.
4. Coordinate procurement of office supplies
5. Collect mail from hospital boxes and facilitate distribution as needed.
6. Assist Controller in compiling Quarterly Reimbursements for Controller’s review and completion.
7. Oversee the physical maintenance of the office including cleaning supplies and cleaning personnel
8. Coordination of IT needs including SharePoint and ShiftAdmin.
9. Coordinate items needed for Board Meetings. (packets, food, etc.)
10. In coordination with the Operations Director:
a. Interacting with patients and external stakeholders to resolve problems
b. Monitor physician licensing renews (NPI, Pharm, DEA, Boards, etc.)
c. Assist in the Coordination of Holiday Parties and Holiday-giving
Major Qualifications
The ideal candidate will have a minimum of a high school diploma; a minimum of 4 years of progressively responsible administrative duties and related skills, along with a solid work history in this area; excellent communications skills and demonstrated competency in the following skills and abilities. An ideal candidate will be self-directed and have a high attention to detail, highly motivated and organized. Working in a Medical environment is a plus, but not mandatory. An equivalent level of experience and certified education may be accepted on a case-by-case basis.
The ideal candidate will have the following skills and abilities:
d. Excellent written and verbal communication skills;
e. Advanced experience with Microsoft products: Outlook, Word, Excel, SharePoint
f. Credentialing experience is a plus but can be trained.
g. Ability to work independently, as well as with a team.
h. Demonstrated ability to effectively interact with people ranging from physicians to patients as well as office staff and public officials and agencies.
i. Problem analysis and problem-solving skills;
j. Willingness to accept training opportunities
k. Demonstrated research and information-gathering skills;
l. Judgement and decision-making ability;
m. Attention to detail and accuracy;
n. Advanced experience with the internet;
o. Ability to work flexible hours when necessary.
Physical Qualifications
p. Stand or sit in a stationary position: must be able to remain in a stationary position 50% of the time.
q. Walk, Move, Traverse: The person in this position needs to occasionally move about inside the office to access filing cabinets, office machinery, etc.
r. Use hands/fingers to handle or feel and operate computer and other office equipment.
s. See, detect, determine perceive, identify recognize judge, observe, inspect, estimate and assess: Must be able to identify personnel, issues and physical environment problems that arise. Must be able to see, design and inspect work products.
t. Carry weight, lift, move, transport, position, pull, install and remove: Frequently moves office equipment and office materials weighing more than 10 pounds on occasion.
