Work Location: 1 NNLC -400 Wedekind Rd. Reno NV 89512
Hours: Monday-Thursday 3:00 pm to 8:00 pm, Fridays-8:00am to 12:00pm
Exempt/Non-Exempt: Part Time Non-Exempt
The Position:
The Intake Specialist position falls under the supervision of the Operations Manager as a function of student services. The Intake Specialist must be well versed in the operations of the organization as this position is seated at the front reception desk area and is the first point of contact for staff, participants, and visitors seeking information about the organization. The Intake Specialist is responsible for providing participants with information on programs offered at Northern Nevada Literacy Council as part of the general task assign to the front desk administration team. The front desk is the face of the organization and must create a welcoming environment greeting all that enter the building and pleasantly answering all who contact the organization via phone, email, or in person. The front desk area is the main point of contact for both internal and external customers. This position requires empathy and great listening skills as those who contact the front desk often do so in need.
Intake Specialist Responsibilities:
- Welcome students/participants into the building directing them appropriately.
- Welcome visitors and having all visitors sign in issuing them a visitor’s badge.
- Address all needs of instructors supporting them in the classroom.
- Create and distribute to all staff, the list of students eligible to sit for the post-test assessments every Monday.
- Contact participants eligible to complete the post-test assessments to ensure the organization achieved the post-test rate outcomes required.
- Provides administrative support to all staff, participants and visitors.
- Answers phone calls, schedules meetings and support visitors.
- Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
- Exhibits polite and professional communication via phone, e-mail, and mail with students and participants.
- Supports team by performing tasks related to organization and strong communication.
- Support participants by providing supportive services information, educational opportunities, and experiential growth opportunities.
- Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
- Provide information by answering questions and requests.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
- Organize and execute quarterly Northern Nevada Literacy Council student graduation ceremony including notifying graduates, sending out invitations, inventory and purchase supplies, and all other tasks related to graduation.
- Secure the building at the end of the day making sure everyone has left the building.
- Closing all window blinds, all office and classroom doors securing all equipment located in classrooms.
- Enable alarm system securing the building at the end of the day.
- Other Front Office duties as assigned by the Career Pathways Coordinator and/or the Executive Director.
Dress Code for This Position:
The dress code for this position is Business Casual as detailed in the NNLC Administrative Policies in an effort to model the professional expectation of all students interviewing to enter into the workforce.
Minimum Qualifications:
- Excellent computer, written, verbal, and organizational skills.
- Must be detailed orientated ensuring accuracy and effectiveness of all programs.
- Must have the ability to organize and accurately report information on a daily basis.
