What are the responsibilities and job description for the Student Account Specialist position at Northern Oklahoma College?
SUMMARY: Reporting to the Assistant Registrar/Coordinator of Student Accounts, the Student Account Specialist is responsible for assisting with the day-to-day operation of NOC Enid student finances, including in-depth customer service to students, monitoring of account balances, collection of student accounts receivables, and processing transactions on student accounts in a timely and accurate manner in accordance with federal/state regulations and institutional policies.
ESSENTIAL DUTIES AND RESPONSIBILITIES include:
- Serve as the primary contact for the Student Accounts department and the NOC Enid VP office via incoming calls, emails and other communications from students and inquiries from other internal departments.
- Process transactions on student accounts, to include charges and payments.
- Participate in collection efforts for current and past due student account receivables.
- Manage incoming calls and emails on student receivable accounts; provide guidance, resolve issues, and/or route the inquiries to the appropriate department for resolution.
- Balance cash drawer including receipts for internal departments including bookstore, Hub, and cafeteria to include in daily deposit processing and deposit to bank.
- Distribute and maintain records of copier codes, campus keys, and credit cards to employees
- Update and activate student meal cards on Campus Commerce
- Process insufficient fund checks written to Northern Oklahoma College
- Process Warrant Intercept Payments on student accounts.
- Assist with preparing and submitting purchase orders and invoices.
- Process and distribute daily mail and Enid postage recharge invoices and maintain the postage machine
- Serve as site administrator for Enid facility rentals through SchoolDude; Process facility rental contracts
- Distribute parking tags to students and employees
- Take Student ID pictures and assist students regarding their NOC Card/Student IDs during peak times.
- Serve as point of contact for NOC Foundation deposits to collect and send in courier to Tonkawa
- Retrieve checks from post office box for Enid Higher Education Council and make deposit at designated bank.
- Process and complete New Hire Adjunct, Hourly and Student paperwork
- Maintain job manual for position with regular updates to describe processes when substitutions are needed
- Perform all other duties necessary to accomplish the educational objectives of the College and/or as assigned by the supervisor and College administration.
QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Excellent interpersonal, oral, and written communication skills as well as expertise to accomplish the above essential duties and responsibilities are required. The Student Support Specialist must preserve confidentiality of privileged and sensitive information; use independent judgment and initiative in the planning, organization, and performance of responsible administrative work; establish and maintain cooperative working relationships with those contacted in the course of work. Creativity; team player with strong organizational, communication and mathematical skills; and proficiency of Microsoft Office applications are required. Must be able to work under pressure; meet inflexible deadlines; set priorities and maintain professionalism when dealing with individuals. Weekend and evening work may be required with a flexible 40-hour workweek schedule. Subject to satisfactory Fair Credit Reporting Act Disclosure which includes a criminal background check.
EDUCATION and/or EXPERIENCE: A minimum educational level of an associate degree and two years related experience; or equivalent combination of education and experience is required.
