What are the responsibilities and job description for the Financial Aid Assistant Manager position at Northern VA Community College?
The Financial Aid Assistant Manager coordinates financial literacy and default prevention programs and assists with managing the Financial Aid Support Center. The Financial Aid Assistant Manager also exclusively manages the NOVA financial aid duties of the ADVANCE Program, and the High Loan Debt process. This position also processes financial aid, provides financial aid counseling, delivers presentations, and assists the Associate Director of Communications & Enrollment Support with other projects such as updating forms and creating content for the financial aid knowledgebase, blog, and the website.
The Financial Aid Assistant Manager duties are to:
- Exclusively manage the NOVA financial aid duties of the ADVANCE Program and the CCAMPIS (Child Care) Grant.
- Assist with managing the Virginia Commonwealth Emergency Assistance Program to include reviewing and processing applications, and preparing reports.
- Manage the financial literacy and default prevention programs.
- Oversee the Financial Aid Support Center in the absence of the Support Center Coordinator.
- Provide financial aid counseling and respond to escalated inquiries.
- Determine loan eligibility when high student indebtedness exists and send debt letters to borrowers.
- Create and update knowledgebase articles for the Support Center and the chatbot.
- Assist with updating forms, creating custom financial aid videos, and other content.
- Provide accurate guidance and assistance to students, in-person, over the phone, by email, by tickets, etc.
- Award and adjust aid to eligibility levels required by federal, state, VCCS and institutional rules and regulations.
- Assist in the implementation of special projects.
- Assist in the review of processes to determine where technology can further streamline those processes.
- Perform other duties as requested.
May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
- In-depth knowledge of federal rules pertaining to financial aid and postsecondary education.
- Familiarity with computer applications and websites related to financial aid and student information systems.
- Knowledge of college and office procedures, various office equipment, and excellent oral and written communication and organization skills.
- Ability to work collaboratively with students, staff, and other offices for successful resolution to difficult problems.
- Ability to work independently in identifying and addressing students’ financial aid needs as they relate to the entire college process.
- Knowledge and ability to follow regulations and college procedures and to understand standards established by the college, state and federal financial aid programs.
- Ability to work independently under pressure and to manage multiple tasks and demands.
- Must be willing and able, at the request of the Director and Associate Director of Communications & Enrollment Support, to provide own transportation to go where needed on any given workday, sometimes with limited advanced notice.
Minimum Qualifications:
- Experience working in a financial aid office.
- Experience in using software commonly used in administering financial aid.
- Experience with financial aid applications/program.
- Experience working in a customer service environment.
- Experience using Microsoft Office (excel, word, etc.)
- Experience using PeopleSoft Student Information System and websites.
