What are the responsibilities and job description for the Scholarship and Administrative Coordinator (*Restricted) position at Northern VA Community College?
Should be able to work evenings and weekends for special events of the Foundation as needed.
The Scholarship and Administrative Coordinator reports directly to executive director of the NOVA Educational Foundation (Foundation) and serves as the administrative office manager organizing and coordinating office operations in order to provide a strong and efficient infrastructure for fundraising and resource development. The coordinator will collaborate with foundation staff to cultivate donor relationships, renew scholarship gifts and to initiate contacts and communications to secure potential new scholarship gifts.
- Manages the Executive Director’s daily and scheduled appointments.
- Ensures that Foundation leadership is well-prepared, well-informed and well-equipped for meetings and travel.
- Responsible for the coordination of the Foundation’s scholarship program
- Performs a variety of clerical and technical duties assisting in the coordination of fundraising activities and event planning.
- Manages projects, handles urgent matters, drafts documents, and processes a large volume of work each day.
- Provides project management for scholarship administration.
- Responsible for Board support ensuring compliance of Board activities with financial, legal and administrative requirements.
- Plans and executes events.
- Anticipates needs and proactively solves problems and/or independently handles issues.
- Other duties as assigned.
- This position is restricted and is funded with non-continuous or non-recurring funding and is subject to continuation based on fiscal year funds and the needs of the College.
May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
- Accounting and finance familiarity.
- High level organizational skills and ability to be proactive in completing assignments on time.
- Advanced skills in MS PowerPoint or other presentation software.
- Strong computer skills and ability to work with various data management and finance management platforms (i.e., Quick Books and Bill.com).
- Excellent organizational, planning, and time management skills including the ability to maintain an organized office space.
- Ability to manage the multiple facets of events and programs to ensure success.
- Ability to anticipate needs, think critically, and offer solutions to problems.

- Experience preparing reports by collecting and analyzing data/information in both hard copy and electronic forms.
- Experience using Microsoft Office Suite and Adobe Acrobat .
- Event planning and execution experience.
- Administrative experience supporting business or nonprofit executives or senior education leadership.
- Accounting or financial reporting experience; preference for experience with fund accounting.
- Current or prior experience in higher education administration or development.
- Experience with Bill.com, QuickBooks Online, and Donor preferred.
- Experience managing travel arrangements and reimbursements.
