POSITION SUMMARY: Under general supervision from the Dental Director, the Administrative Assistant purpose is to provide administrative support to the Dental Director with recurring tasks and special projects. A successful incumbent will have the ability to learn and apply knowledge gained of the Dental Industry in supporting the Dental Director with escalating issues, managing calendars, managing coverage for providers on PTO, attending meetings and compiling meeting minutes for Dental Director review. ESSENTIAL JOB FUNCTIONS: The list that follows is not intended as a comprehensive list, but rather to provide a representative summary of the major duties and responsibilities. Incumbent(s) will be required to perform a variety of duties listed, including but not limited to: 1. Perform and/or organize administrative activities in order to aid in keeping operations running smoothly. 2. Communication with various departments in the agency as well as outside agencies through email, telephone, and written correspondence. 3. Schedule and organize meetings and manage action items and compile meeting minutes. 4. Information Management and follow up on various action items. 5. Maintain the provider work schedule relating to PTO, flex days working closely with the site managers to insure efficient smooth appointment book scheduling and clinical operations. 6. Assist the Dental Director in editing and maintaining files of ALL forms for the use of patient care. These files will be uniform for each site in PDF format and will include, but not limited to, consent forms, health history and others. 7. Ensure that the daily patient sheets are accurate, submitted in a timely manner and accurately processed at billing department. 8. Other administrative assistant duties, as assigned
Experience and Skills:
The following knowledge, skills, and abilities are required for an employee to successfully perform their duties. 1. High school diploma and or GED. 2. Two (2) years of experience in health care related field; dental industry experience preferred. 3. Able to work collaboratively with multiple health professionals in a busy and complex environment using tact, and diplomacy. 4. Ability to operate with proficiency, the computer packages in use at NVIH. 5. Commitment to excellence, high standards, and strong interpersonal skills. 6. Excellent written and oral communication skills, strong organizational problem-solving and analytical skills; ability to speak publicly.
