Key Responsibilities:
- IT & Operational Scheduling – Coordinate onsite IT visits, manage project timelines, and schedule meetings and appointments.
- Communication & Documentation Management – Oversee correspondence, including emails, letters, and reports, ensuring clarity and professionalism.
- Financial & Expense Coordination – Assist in processing invoices, reconciling expense reports, and handling light accounting tasks.
- Administrative & Office Support – Provide professional assistance to visitors and staff while maintaining office organization.
- Data & Records Management – Maintain secure filing systems, both digital and physical, and handle confidential information.
- Meeting & Reporting Support – Prepare regularly scheduled reports and accurately document meeting minutes.
- Inquiry & Client Engagement – Respond to inquiries via email, phone, and in person, ensuring timely and professional communication.
- Process Improvement & Workflow Optimization – Identify and implement administrative improvements to enhance efficiency.
- Mail & Document Distribution – Receive, organize, and distribute incoming and outgoing mail and office documents.
- Cross-Functional Collaboration – Support various office projects and assist team members as needed.
What We’re Looking For:
- Experience & Expertise – 4-6 years of administrative or operations support experience.
- Tech-Savvy & IT Proficiency – Strong command of Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and familiarity with cloud-based collaboration tools (Google Workspace, Microsoft Teams, Slack, Zoom). Experience with office management software, CRM systems (e.g., Salesforce, HubSpot), and accounting platforms (e.g., QuickBooks, SAP) is a plus.
- Data & Analytical Skills – Ability to generate, manage, and analyze reports using spreadsheets, databases, or business intelligence tools (Power BI, Tableau).
- Communication & Stakeholder Engagement – Exceptional verbal and written communication skills with the ability to interact professionally across all levels.
- Project & Workflow Management – Familiarity with project management platforms (Asana, Trello, Monday.com) to track and coordinate tasks efficiently.
- Confidentiality & Compliance – Ability to handle sensitive information with discretion and adhere to data security and compliance regulations.
- Problem-Solving & Adaptability – A proactive mindset to identify process inefficiencies and implement practical solutions.
- Education – High school diploma or equivalent required; college degree preferred.
- Other Requirements – Must be 19 years or older and authorized to work in the U.S.
