The college registrar maintains the academic records of all students and plans and implements the registration process for classes. The registrar works with other administrators to coordinate times and locations for class meetings and resolves scheduling conflicts. Other responsibilities include keeping records of all college classes and curriculum prerequisites, determining students' graduation eligibility, preparing information such as honors lists, transcripts and other related records. This position supervises the daily functions of the Registrar’s office including compliance with college, state, and federal policies and guidelines. This position is responsible for working with academic divisions to maintain accurate student records that include students' grades, transcripts, and class scheduling to ensure data accuracy. This position is also responsible for monitoring of FERPA compliance for the college community. Essential Duties Organizes, coordinates, and directs day-to-day activities of the Office of the Registrar, including supervision of staff. Responsible for term setup and closing for each part of term and semester. Responsible for the integrity, maintenance, and security of the permanent academic records of the current and former students. Collaborates with the academic divisions to monitor attendance tracking and compliance with Department of Education regulations. Responsible for the submission of TB records and immunization records to the State of Arkansas. Responsible for reporting enrollment and graduation information to the National Student Clearinghouse. Facilitates FERPA training and monitors FERPA compliance for the college community. Provides student records oversight to the college. Investigates and corrects discrepancies identified in student accounts/records. Supervises the coordination, evaluation, and certification of all graduation applications, and oversees the degree conferral process. Oversees and maintains an accurate curriculum management system and publishes the college catalogue. Plans and manages the annual budget of the Record’s Office. Serves as a consultant to the college community on the maintenance of student records. Develops, designs, and implements various procedures and processes to increase department efficiency and effectiveness. Serves as the lead for the execution of degree audits, and coordinates with the academic divisions to identify populations for batch audits. Performs any other related duties as required or assigned. Knowledge of campus and community resources. Knowledge of state, federal, and campus rules, regulations, and requirements related to campus academic and social programs. Ability to coordinate the activities of campus academic and/or social programs. Ability to evaluate collected information and formulate into recommendations. Ability to compile information into report form.
