Job Overview:
As a Payroll Specialist at Northwest Radiology, you will be responsible for ensuring accurate and timely processing of payroll. We believe that every employee deserves to be paid correctly and on time. The successful candidate will demonstrate excellent communication skills that will be utilized to assist employees with questions pertaining to company payroll policies and procedures. In addition, the Specialist will support the main functions of the Human Resource Department by assisting the Human Resource Manager with onboarding, hiring, data entry and employee engagement. The ability to take initiative and work in a team environment is essential for this position.
Responsibilities:
- Prepares a variety of payroll related documents (e.g., retirement plan transfers, ACH transfers, voluntary and involuntary contributions, W-2 controls, verification of employment and salary, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
- Records changes affecting net wages, for example exemptions, insurance coverage, and loan payments for each employee to update master payroll records.
- Compiles statistical and payroll data from a variety of sources (e.g. time sheets/payroll, salary adjustments, benefits etc.) for the purpose of providing summaries to other personnel, and/or ensuring compliance with established guidelines.
- Maintains a wide variety of payroll information (e.g. direct deposits, W-4s, PTO records, salary, levies, garnishments, retirement, voluntary and involuntary contributions, etc.) for the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelines.
- Responds to inquiries regarding payroll procedures (e.g. wage levies and garnishments, direct deposits, etc.) for the purpose of providing appropriate action and/or complying with established fiscal guidelines.
- Researches discrepancies of payroll information and/or documentation (e.g. time sheets, PTO time, salary, supplements, stipends, FMLA, etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing.
- Resolves discrepancies with payroll and/or benefit information and/or documentation (e.g. payroll, benefit providers, withholding versus W4, salary status, late hires, leaves of absence, separating employees, etc.) for the purpose of ensuring accuracy of records and employee payments.
- Reconciles payroll account balances (e.g. time sheets, direct deposits, wage attachments, benefits, voluntary and involuntary contributions, etc.) for the purpose of maintaining accurate account balances and complying with established guidelines.
- Reviews employee records and wage payment information for year-end reporting of W-2 and retirement reporting.
Skills, Experience and Education:
- 3 Years of Payroll experience (Required).
- Strong proficiency in Microsoft Excel and other data management tools (Highly recommended).
- Familiarity with accounting principles for managing entries and reporting.
- Experience with payroll systems, prior experience with ADP is a plus.
- Strong organizational skills with attention to detail in managing multiple tasks effectively.
- Ability to communicate complex information clearly to diverse audiences within the organization.
- Demonstrated ability to work with timeliness, accuracy and confidentiality.
