What are the responsibilities and job description for the Area Manager position at Northwest Tennessee Head Start/EHS?
Purpose Statement: The Area Manager will provide supervision, guidance, and leadership to center staff to emphasize the importance of the program achieving high standards of quality, both in our centers and through community partnerships.
Essential Duties and Responsibilities:
1. Follow chain of command when addressing all issues.
2. Support and assist Center Manager in the areas of supervision, leadership, and mentoring, coaching skills related to day-to-day operations; Support, aid, and respond to inquiries from center manager.
3. Supervise, mentor, coach, and facilitate work plans, and directives to staff.
4. Document and provide both feedback that identifies strengths and area of improvement, utilizing a corrective action plan or staff improvement plan form when warranted. Ensure documentation is forwarded to Program Director.
5. Submit monthly reports on direct service activities and status to the program director and/ or content area manager.
6. Identify and discuss problems or concerns at the center level with the director and/or content area manager.
7. Hold monthly meetings with center manager(s) and other center staff as required or necessary.
8. Promote consistent communication between all parties.
9. Support and assist center manager(s) to ensure that the Head Start Performance Standards, Head Start Act, DHS, DOE licensing rules, procedures and Agency policies are met, and quality services are based on mission and vision of the program.
10. Support, train or attend monthly meetings with center manager(s) as required or assigned by Content Manager(s) or program director.
11. Facilitate the resolution of conflicts between staff.
12. Maintain operations area filing system for DHS STARS, licensing renewal and violations.
13. Support and oversee community relations, public relations, social media, and monthly newsletter initiatives.
14. Support the director with grant applications with staff, policy groups, parents, and community.
15. Work as part of management team by being a team player to support and ensure compliance with regulations relevant to areas of short and long-term organizational planning, communication, mentoring, coaching, implementation, reporting, and record keeping.
16. Supports and trains inside and/or outside the program and has a broad base of knowledge relating to the entire program.
17. Attend policy council, personnel committee, board meetings, pre k collaboration meetings.
18. Willingness to work the classroom for coverage or center manager vacancy if needed.
19. Attempt to visit each site/classroom if feasible, (4-6 hours per month per site) to conduct observations, provide training and technical assistance, coaching and mentoring if applicable to the need of the site/center.
20. Work with center manager and community leaders to build and maintain positive and beneficial working relations through participation in professional development, public and community relations events.
21. Read management and leadership materials and program-related materials to keep abreast of all content areas.
22. Work with other organizations in the community to foster collaboration and monitor emerging community issues and barriers that may affect Head Start.
23. Conduct new on-site training for staff if requested; also conduct interviews of potential employees as requested.
24. Compile, evaluate, organize, and participate with Content Manager(s) and Director in the design, implementation and monitoring as related to community assessment, self-assessment, internal monitoring, and special projects for the program.
25. Assist and serve as advisor for professional development and trainings.
26. Participate in professional development, public and community relations activities.
27. Demonstrate an understanding of CLASS domains and dimensions by maintaining reliability.
28. Assist with DHS Licensing Paperwork; providing technical support as needed.
29. Monitor transition logs on an ongoing basis for assigned centers.
30. Support, mentor, train, and coach center manager in solving problems and providing feedback related to day-to-day operations.
31. Work with other organizations in the community to foster collaboration and monitor emerging community issues and barriers that may affect Head Start.
32. Assist with conducting any areas that require fidelity checks, if applicable or requested.
33. Upload training rosters, monitor training needs by planning with the center manager and or content manager.
34. Observe classrooms utilizing CLASS system as needed.
35. Preserve the confidentiality and integrity of all program information.
36. Perform other duties as assigned by supervisor as this job description is in no way intended to include all responsibilities of the position, but rather to provide a general overview of what is expected of the position holder.
