The Investment Operations Manager is responsible for overseeing a wide range of investment management services provided to clients. This role specializes in investment operations, planning, and client service, ensuring the maintenance of an efficient and organized office environment. The Investment Operations Manager will work closely with team members to leverage technology and create and implement investment processes. This role requires maintaining effective communication with clients and internal stakeholders to provide transparency and regular reporting on investment operations.
Key Responsibilities:
INVESTMENT OPERATIONS and PLANNING:
- Serve as the primary point of contact for investment operations
- Preparing and processing all paperwork needed for investment/advisory accounts
- Processing and following up on asset transfers and on initial and subsequent funding of advisory accounts
- Implementing initial asset allocation transactions and subsequent rebalancing or reallocation
- Discussing potential transfer opportunities from external investment accounts
- Lead rollover calls with clients to transfer assets to advisory accounts
- Processing proposal amendments, monitoring alerts and annual reviews in Envestnet
- Executing buy or sell orders and rebalancing orders in Envestnet to maintain asset allocation
- Following up on trade rejects and resolving all trade-related issues
- Verifying holdings for program eligibility and administering advisory accounts
CLIENT SERVICE:
- Ensure clients receive prompt and professional assistance
- Maintain a high level of professionalism while handling confidential and sensitive information
- Provide expertise, knowledge, and experience in investment operations to support clients
SUPPORT:
- Handle case notes, processing correspondence, maintaining client case files and filing performance reports, account forms and other advisory paperwork
- Responding to home office account inquiries
- Maintaining annual review notes in Envestnet and mailing annual review letters to clients
- Monitoring industry trends and research
- Ensuring NMIS and NMWMC compliance requirements are implemented and followed
- File direct to fund investment statements
- Set up and maintain NetX360 system for investments
- Prepare new account, application, registration, order ticket and check for completeness and accuracy prior to submission to home office
- Prepare separate client file with copy of new account and account registration
- Report account status within direct to fund and mutual fund company
- Address inquiries regarding client account balances
REGULATORY COMPLIANCE:
- Monitor and support regulatory considerations and enhancements.
- Ensure accurate financial reporting in collaboration with the finance team.
PREFERRED QUALIFICATIONS:
- Bachelor's degree in business, finance, or related industry experience
- SIE, 6 and 63 licenses. Series 7 preferred
- 3 to 5 years of investment management experience
- Commitment to professional development (e.g., CFP, CFA, ChFC,)
- Strong analytical, problem-solving, and written and verbal communication skills
- Ability to collaborate effectively with others and adapt to changing environments
- Excellent oral and written communication skills
- Proficient computer skills
- Attention to detail, accuracy, and reliability
- Ability to thrive in a fast-paced environment
