Join us at Notre Dame Academy - Hingham, an all-female college preparatory high school dedicated to empowering young women in grades 6-12. Reporting to the President, we are seeking a Full-Time Director of Building and Facilities Operations who is responsible for overseeing all aspects of Notre Dame Academy’s physical infrastructure, including maintenance, repairs, renovations, cleaning, groundskeeping, and ensuring compliance with safety regulations, by managing a team of staff and coordinating with contractors to maintain a safe and functional learning environment for students, faculty and staff; key responsibilities often include budgeting, project planning, emergency preparedness, and communicating with stakeholders regarding facility's needs.
Key Responsibilities:
Maintenance and Repairs:
•Manage preventative maintenance schedules for building systems (HVAC, plumbing, electrical).
•Oversee repairs and replacements of equipment and building components.
•Coordinate with outside contractors for specialized maintenance needs. Manage relationships with external vendors and contractors for facility-related services, ensuring all work is completed on time and within budget.
Building Operations:
•Ensure proper functioning of building systems including lighting, fire alarms, security systems.
•Monitor energy consumption and implement energy efficiency measures.
•Oversee Facilities Manager along with cleaning and maintenance staff to maintain cleanliness standards. Provide guidance and training to ensure all areas are properly maintained and that staff perform duties safely and effectively.
•Oversee partnership with landscaping, dining, and security vendors to ensure high quality of standards are maintained.
Project Management:
•Develop and execute capital improvement plans for renovations and upgrades. Lead long-term planning for facility needs, including preventative maintenance schedules, space utilization, and upgrades to infrastructure.
•Manage project budgets and timelines for construction projects.
•Oversee project bidding and contract management.
•Evaluate and implement enhancements to campus buildings and grounds to improve functionality, sustainability, and overall aesthetic.
Safety and Compliance:
•Conduct regular safety inspections to identify potential hazards.
•Ensure adherence to all local building codes and safety regulations.
•Implement emergency preparedness plans and conduct drills.
•Partner with the Emergency Operations Team to proactively support safety and security training and up to date emergency operations plans.
Budgeting and Financial Oversight:
•Develop and manage the facilities budget.
•Track expenses related to maintenance, repairs, and projects.
•Identify cost-saving opportunities.
Communication and Stakeholder Management:
•Collaborate with school administration, faculty and staff, especially, and on a regular basis, with the Director of IT and Controller on capital projects, school infrastructure, and the support of school events.
•Communicate with members of the school’s Finance, Facilities, and Infrastructure Committee on capital projects and building maintenance plans when appropriate.
•Provide regular updates to President on facilities projects and status.
Other duties as assigned
Qualifications:
• Must have Bachelor's degree in Facilities Management; or a minimum of 10 years of proven, documented experience in facility management.
•At least 10 years of leadership experience in a facilities management role, preferably within an educational or similar institutional setting.
•Proven ability to manage budgets, resources, and large-scale facility projects.
•Excellent organizational and communication skills.
•Must work collaboratively with school leadership, faculty, staff, and contractors.
•Strong problem-solving skills and the ability to address complex issues quickly and effectively.
•Strong team Management skills and experience.
•Experience with sustainable practices and energy efficiency is a plus.
