Job Overview:
The Office Manager is responsible for the efficient management of the office operations in a fast-paced home health care environment. This individual will ensure compliance with state and federal regulations, oversee administrative staff, manage client schedules, maintain accurate documentation, and provide overall support to caregivers and leadership.
Key Responsibilities:
- Office Administration: Oversee day-to-day operations, including scheduling, managing incoming calls, and maintaining a clean, professional office environment.
- Staff Scheduling: Coordinate caregiver schedules to meet client needs, ensuring proper coverage and timely communication with staff and clients.
- Documentation Management: Maintain accurate and up-to-date client files, employee records, and agency documentation, ensuring compliance with state and agency standards.
- Team Supervision: Provide support and guidance to office staff and caregivers, ensuring smooth operations and resolving any workflow challenges.
- Client Relations: Serve as the primary point of contact for client inquiries, addressing concerns promptly and ensuring satisfaction.
- Billing and Payroll Support: Assist with tracking caregiver hours, preparing timesheets, and supporting billing processes.
- Compliance: Ensure agency policies and procedures comply with state, federal, and agency requirements, including audits and licensing standards.
- Reporting: Prepare and submit regular reports on office activities, client satisfaction, and staffing metrics.
Qualifications:
- Proven experience in office management or administrative roles, preferably in the home health care or related field.
- Strong organizational and multitasking skills with exceptional attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and scheduling software.
- Excellent interpersonal and communication skills.
- Ability to handle sensitive information with confidentiality.
- Familiarity with state and federal regulations for home health care agencies (preferred).
- Bachelor’s degree in business administration, healthcare management, or related field (preferred but not required).
