The Position
The Project Coordinator will play a pivotal role in supporting the Strategy Planning & Operations leader by ensuring seamless coordination of various tasks related to projects within the organization. This role requires exceptional organizational skills, effective communication, and the ability to manage multiple responsibilities simultaneously.
Relationships
Reports to the Executive Director, Strategic Planning & Operations. Connects to and collaborates with different functions and leaders involved in budgeting and other core operational business activities. Connects to and collaborates with CS&M leadership team to support strategic planning & operations leader on operational activities.
Essential Functions
- Project Organization: Create and maintain comprehensive project roadmaps & timelines for leadership, ensuring alignment with other organization milestones
- Deliverable follow-up: Proactively organize, prioritize and follow up on assigned tasks and deliverables, ensuring completion in advance of deadlines for relevant engagements (e.g. committees, leadership teams, etc.)
- Pre-reads: Prepare pre-read materials for meetings and presentations, ensuring that all necessary information is provided to team members in advance
- Event coordination: Collaborate with stakeholders to coordinate logistics and content for designated events
- Budget Management: Track and consolidate budgeting requirements from various parts of the organization
- Meeting Requirement Management: Manage documentation requirements, reports, and minutes for critical meetings
Physical Requirements
0-10% overnight travel required.
Qualifications
- Bachelor’s degree required; relevant experience may be substituted for degree when appropriate
- 4 years of experience, including demonstrated history in administration, project management, or related roles preferably within the pharmaceutical industry
- Planning, Execution and follow-through skills required
- Experience with operations
- Ability to handle sensitive information with discretion and maintain strict confidentiality
- Excellent communication and stakeholder management skills
- Demonstrated collaboration skills required
- Ability to self-organize and work in fast paced, ambiguous environment
