We are currently seeking a Work Order Specialist/ Administrative Assistant to support the daily operations within the main office of a fast paced and growing company in the Murrieta area. We are looking for someone with the right attitude to learn, grow and thrive within the organization. This position requires constant interaction with vendors, customers, and various employees throughout the company.
Job Description/Responsibilities:
The Work Order Specialist will be assisting in various tasks and responsibilities each day, which included, but not limited to the following:
- Creating Work Orders
- Manage phone calls and correspondence (e-mail, letters, packages etc.)
- Record Keeping and Data Entry
- Creating and Updating Vendor and Employee Schedules
- Daily Checking In/Out of projects
- Submitting Proposals
- Ordering and Keeping Track of Work Materials
- Submit timely reports and prepare presentations
- Sorting and Uploading Photos for clients and providers
***Must be able to handle last minute assignments.
Requirements:
- Experience as an office assistant or relevant role
- Outstanding communication and interpersonal abilities
- Excellent organizational and leadership skills
- Knowledgeable with office procedures and basic data entry skills
- Knowledge of MS Office and office management software
Preferred Experience:
- Some clerical and administrative experience in an office setting
- High School diploma (Required)
- Bachelor’s degree preferred, but not required.
- Bilingual (Spanish) is a plus, but not required
Schedule:
Must be available, Monday - Friday, 9:00a - 4:30p
