Position : Office Manager

Nunzi’s Advertising seeks an experienced, energetic Office Manager to oversee order management, logistics, and bookkeeping while ensuring a positive client experience. In this role, you will coordinate shipments, client pickups, deliveries, and manage accounts receivable—making sure orders are correct, on time, and properly invoiced.

You will collaborate with suppliers, the sales team, the graphics department, and clients to achieve these goals, handling tasks such as data validation, order management, job scheduling, logistics, and conflict resolution. We are looking for motivated individuals to join our growth-oriented team, committed to delivering outstanding client experiences.

Duties and Responsibilities :

  • Manage Remote CSR
  • Validate Information on Orders and Submit to Suppliers
  • Schedule and Manage Critical and Critical Rush orders
  • Communicate with decoration partners and manufacturers to ensure orders are completed correctly and in a timely manner
  • Monitor the Graphic Department Queue
  • Manage Shipping and Receiving. Must be able to physically lift boxes weighing up to 40 pounds.
  • Communicate with clients to schedule Pick-ups and Deliveries when required.
  • Communicate issues to clients should that occur
  • Problem resolution when an error occurs with an order
  • Manage, inventory, and order all office and marketing supplies
  • Validate and Monitor Gross Profit on all orders
  • Send Invoices and Monthly Statements to clients
  • Make Collection Calls
  • Enter Client Payments(Including process credit cards) and create deposits,
  • Analyze UPS Invoices and allocate shipping costs to jobs.
  • Follow company policies and procedures as outlined in the Employee Handbook.
  • Always be honest, respectful, and professional with fellow employees, clients, and vendors.
  • Manage Online store programs as assigned.
  • Perform other assignments as directed.

Competencies

  • Proven experience as a Office Manager or similar position in a B to B environment.
  • Knowledge of Sales, Production Scheduling, Negotiating Principles, and various deadlines
  • Thorough understanding of Microsoft Windows and Office (especially Word, Excel & Google Suite)
  • Exceptional organizational abilities and attention to detail
  • Ability to remain calm under pressure in a fast-paced environment
  • Professional, friendly, polite interaction with Account Managers, Suppliers and Clients
  • Excellent communication / presentation skills and the ability to build relationships
  • Organizational and Time-Management Skills
  • Enthusiastic and Passionate
  • Qualifications :

  • 3 Office Management Experience
  • 5 Customer Service Experience
  • Previous B2B Customer Service experience, ideally in a sales based environment
  • Experience working within a CRM
  • Ability to demonstrate excellent communication skills – written, verbal, and listening
  • Proven ability to manage multiple projects at a time while paying strict attention to detail
