Duties and Responsibilities:
- Welcome clients, visitors, and guests, determining the purpose of their visit and directing them to the appropriate location.
- Address visitor inquiries and complaints in a professional manner.
- Answer, screen, and direct incoming phone calls; take messages and schedule appointments as necessary.
- Keep call log of all incoming calls
- Submit support tickets to customer support for technical and other issues.
- Perform occasional clerical tasks such as filing, data entry, and maintaining records.
- Schedule and manage appointments for office services, such as HVAC and fire equipment maintenance.
- Maintain a clean and organized office environment, including sanitizing surfaces, emptying trash, and washing dishes, as needed.
- Restock office supplies and snacks and maintain an inventory list of all low-stock items.
- Manage, sort, and dispense incoming mail and package deliveries.
- Keep the front desk organized and presentable.
- Assist in planning and organizing office events.
- Notify and remind all parties of upcoming events, lunches, meetings etc.
- Basic facilities upkeep
Requirements:
- High school diploma or GED equivalent required
- Excellent customer service and de-escalation skills
- A strong understanding of gatekeeping
- Proficiency in Microsoft Office Suite or similar software.
- Basic understanding of administrative procedures.
- Organized and detail-oriented
- Outstanding communicator both verbally and written
- Ability to sit for prolonged periods.
- Capability to lift up to 15 pounds as needed.
Preferred:
- Associate’s degree in office administration, management or related field preferred
- 2 years working in office admin or hospitality management preferred
Job Type: Full-time
