As a Document Control Administrator, you will ensure that all project documentation is kept up to date, stored and distributed properly. Maintaining the document management system and executing the document management process makes the Document Control Administrator a crucial member of a project team. Responsibilities
Essential Duties and Responsibilities:
- Perform duties as defined in company policies and procedures for Document Control
- Controlled document storage using NV5’s document management system (Microsoft SharePoint - Project Portal)
- Project setup inside of NV5’s Project Portal
- Controlled document review and routing
- Maintaining controlled document revisions
- Issuing the latest revision of controlled documents to the appropriate parties
- Controlled document number management and tracking
- Distributing all project transmittals
- Receiving, distributing and tracking the review of all project submittals
- Internal QA/QC document tracking
- Vendor QA/QC management
- Receiving record storage using NV5’s document management system
- Project Data Book compilation
- Provide support for special projects when necessary
- Follow all workplace safety and health guidelines
- Other duties as assigned
Specific Knowledge & Skills:
- Ability to set priorities, to be self-disciplined and maintain attention to detail under a deadline
- Good written and oral communications skills
- Ability to work effectively individually or within a group
- Strong customer support ethic
- Computer literacy in MS Office (Word, Excel, PowerPoint, etc.)
- Ability to implement process improvement solutions
- Ability to adopt existing document control tools/software (i.e. Microsoft SharePoint)
- Excellent time management and multi-task capability
- An associate degree is a plus. At least two years’ previous experience as document control in an engineering environment or similar technical field
- Word processing, spreadsheet knowledge and general computer experience is required
