Summary of Position :
NVE Experience Agency is seeking a dedicated and highly skilled Associate Producer. This role is responsible for leading the creation of memorable experiences and ensure successful program delivery to our clients.
As a Associate Producer on our team, you will have opportunities to oversee all aspects of event production, collaborating with other teams on concept development, and ensuring flawless execution. This role will primarily lead / support production for an account in the autonomous vehicle industry. Our autonomous vehicle client develops self-driving technology for ride-hailing services, and participates in numerous events annually through marketing, public affairs and policy initiatives. This role offers a great opportunity for growth with a major industry leading client.
Job Responsibilities :
Build and maintain project documentation including deliverable timelines, production schedules, run of show, etc
Update status reports and schedules and maintain lists of action items to ensure smooth and timely delivery of programs and associated deliverablesCoordinate communications between team members
Organize brainstorms and debriefs - including but not limited to scheduling, tracking attendees and meeting set-upProvide seamless onsite executionEnsure project / program is delivered on-time, on-budget and flawlesslyCollaborate with cross functional teams and agency partners in managing effective communication between project team membersManage specific elements of a project including but not limited to vendor communications, negotiations and ensuring payments are being made on timeEnsure projects are resourced effective and efficientlyManage multiple programs at onceClient ManagementBuild and maintain effective client relationships, ensuring that all client needs are heard, understood, and addressed in a timely manner
Provide clear communications to the client regarding roles an responsibilities, scope, budget and schedules for assigned programsBudget ManagementDevelop and manage project budgets up to $650,000
Oversee coordination with all internal parties on invoices and vendor paymentsReconcile all costs against budgetsSupport our finance group by ensuring you and your teams are closing out projects in a timely and efficient mannerTeam ManagementHave regular check-ins with your manager and team to provide feedback in timely manner
Foster a productive team environment that encourages collaboration and process to ensure all deliverables are meetProvide ongoing mentorship, and training sessions to further grow each individual's careerResponsible for ensuring timesheets are completed in a timely manner for all project workstreams whether leading or supervisingInterview and hire full time and freelance support to guarantee projects are flawlessly executed within target marginEnsure all team members are on-boarding temporary production staff in accordance with company policyProtect resources on projects accurately utilizing internal and external resourcesMobile Marketing ManagementManage and coordinate all aspects of mobile marketing operations
Execute project plans by meeting or exceeding key milestones and deliverables for each phase of the projectCreate and manage production schedules to ensure timely execution of all tour-related activities.Marketing Asset ManagementLeverage existing marketing assets and collaborate with the creative team to develop new concepts
Manage logistics, including transportation, setup, and teardown, to ensure smooth operations at each tour locationPartnerships ManagementManage special event and partnership opportunities for various types of events including local, national and international organization partnerships, trade shows, conferences, and policy events
Manage the production of branded giveaways and fabrication, ensuring alignment with the overall partnership brand strategyQualifications :
Must have at least 3-4 years of proven event production experienceExperience creating and managing budgets up to $650,000Experience managing mobile marketing programs and client assets including traveling toursStrong project management skillsClient focus with attention to detail, flexibility and accountability for resultsStrong written and verbal communication skillsExtraordinary organizational skills, self-motivation and intuitionThrive in a fast paced, agency environmentExcellent computer skills Microsoft and Apple applications, team project software, social media sitesThorough understanding of permitting standards (Including but not limited to TPA, Special Event, Fire, Health & Safety, Building & Safety, Noise, etc.) and ability to successfully manage production timelines and needs as related to permit procurementAbility to both lead teams and act as a support to Event Producer on larger Project TeamsAbility to effectively manage tasks across multiple projects / various clients at the same timeRequirements :
Must be able to remain in a stationary position 50% or more of the time while working remotely and in a standing position 50% or more of the time while working onsiteWhile working onsite, must be able to work outdoors in various weather conditions as neededHave a valid Driver's License and own carRegularly required to stoop, kneel, bend, crouch and lift up to 25 pounds and occasionally heavier itemsAvailable to work weekends and evenings as needed for eventsAvailable to work on-site in the greater West Coast area and other locations as neededAble to travel up to 40-60% of the yearLocation : We are a hybrid company with hub locations in Los Angeles and New York. The ideal candidate is located in Los Angeles, CA as the client's assets are located there and will require in person management.

This is an exempt full-time position. NVE intends to provide a competitive total compensation package which includes a variety of incentives, benefits, growth and developmental opportunities. There are many factors to the presented salary range, including but not limited to - location, departmental budgets, certifications, and overall job-related qualifications.
