Duties

The Department of Probation (DOP) is seeking to hire one (1) Principal Administrative Associate to function as a Workers’ Compensation /Leave Analyst. Under supervision, with some latitude for independent action or decision, the selected candidate will perform investigation and claims processing tasks related to workers’ compensation cases. Duties include but are not limited to the following:

  • Review accident reports and other documents related to claims to determine workers' compensation coverage.
  • Review cases for correction of awards or decisions and process payments resulting from hearings by New York State Workers’ Compensation Board.
  • Review cases for compliance with DOP policies and procedures.
  • Enter and maintain digital records of cases.
  • Gather information from case files or computer records and prepare written material and forms for distribution.
  • Communicate with insurance carrier via email, telephone and on-line system.
  • Respond to inquiries and/or discuss injured employee’s obligations and entitlements under DOP’s policies.
  • Implement the pro-rated benefits for compensable claims in accordance with contractual agreements.
  • Compute benefit payments accruing to prospective recipients.
  • Investigate disability claims by contacting pertinent parties.
  • Review and forward medical reports to insurance carrier for continuation of benefits.
  • Assist in the processing of claims utilizing manual and/or automated office systems.
  • Prepare and file workers’ compensation documents.
  • Maintain accurate and confidential records of workers' compensation claims and related documentation.
  • Responding to time and leave inquiries from employees.
  • Track leaves of absence for employees including medical leaves, worker’s compensation leaves, and other leave types.
  • Maintain accurate and confidential records of worker's compensation claims and related documentation.

APPLICANTS MUST BE PERMANENT IN THE PRINCIPAL ADMINISTRATIVE ASSOCIATE CIVIL SERVICE TITLE OR BE PERMANENT IN A COMPARABLE TITLE ELIGIBLE.

Minimum Qualifications

  • A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
  • An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
  • A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
  • Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.

Preferred Skills

Experience with timekeeping procedures. Excellent written and verbal communication skills. Ability to handle high volume of work and meet strict deadlines.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
