The Problems You’ll Solve:
The Operations Manager reports to the Chief of Staff and works with the NYC Service team to manage
overall office coordination and to drive office-wide projects. The Operations Manager refines internal
processes to ensure functioning smoothly, collaboratively, and effectively. The role mainly works with
the NYC Service staff and other staff within city government, as well as some interfacing with the public
and other key stakeholders.
Key responsibilities include the following:
Project Management
- Serve as the agency Salesforce Admin and lead the implementation and adoption of Salesforce
(Contact Management System) across our team
o Develop staff training and provide technical support as needed.
o Manage users, data, and reports, and create updates as needed.
o Coordinate with website vendor and internal teams to ensure the system is
interconnected.
- Lead internal and external data collection and reporting
o Ensure teams are capturing and reporting programmatic data or insights.
o Liaise with teams on outreach and coordinate with City agencies, nonprofit organizations,
and other partners to ensure data is captured.
o Incorporate findings into citywide reports, including the distribution of Mayoral Service
Recognition Program certificates.
- Support partner website management in collaboration with other teams, including training,
customer support, and technical assistance.
- Support internal communications by tracking cross-team projects or events timelines and staffing
needs, routinely working with teams to ensure information is up to date.
- Support various teams with event planning, such as production, staffing, or internal coordination.
- Support with intergovernmental affairs, such as contact management and legislative research
and coordination, with the Deputy Chief Service Officer and Chief of Staff.
Staff and Office Operations
- Manage daily office operations and lead administrative support for the team including, but not
limited to, supply orders, general inquiries, phone calls, facility/technology needs, office repairs,
storage/inventory, conference room bookings, new hire orientation, and off-boarding, and
organizing staff meetings and gatherings.
- Manage external correspondence and field inquiries from the public related to the website,
volunteer programs, or other NYC Service programs.
- Design/implement systems and processes to improve the overall function of the office, and
maintain systems or update as needed.
- Support the intern program including recruitment, interview coordination, onboarding, and
training, as well as plan annual summer internship service project with the Mayor’s Office of
Human Resources.
- Lead the Team Culture Committee to create dynamic and welcoming engagements for all staff,
regardless of team or position with the goal of celebrating the diversity of staff and cultivating
interpersonal connections.
- Support the Chief of Staff as office liaison for interagency compliance and ensure the office
completes required reports, such as Open Data (MODA), Language Access (MOIA), Department
of Veterans Services (DVS), and Community Ethnic Media.
Budget and Spending Coordination
- Work closely with the Deputy Chief Service Officer for National Service and Fiscal Operations to
develop, track, and manage team and overall NYC Service budget: planning and organizing
budget, fiscal submissions, routinely tracking and analyzing spending, and developing budget
forecasts.
- Support staff in registering new vendors with the City, contracts/agreements, and processing of
orders.
- Prepare quarterly financial reports for the Chief of Staff and Chief Service Officer.
- Submit and oversee travel requests for NYC Service staff, when appropriate, working with the
Mayor’s Fiscal office.
Advance NYC Service mission, values, and goals
- Liaise and represent NYC Service at internal and external meetings as well as NYC Service all-staff
events, as directed.
- Be available on select weekends and evenings, as/if needed.
- Support City initiatives as needed, including but not limited to possible emergency response (e.g.
evacuation shelters, etc.).
- You have a Bachelor's Degree preferred; You have a High School Diploma or GED considered with
previous administrative experience.
- You are a thorough, organized, detail-oriented individual with a keen ability to prioritize, and
manage against goals, and who can find creative solutions to challenges.
- You’re a team player with excellent interpersonal skills including the ability to relate to and
provide support for internal staff and external vendors and being able to maintain tact.
- You’re a self-starter with a strong work ethic and a flexible work style in a fast-paced
environment.
- You are confident, ''take charge'' an individual who doesn’t get flustered when faced with
challenges, no matter how big or small.
- You have excellent computer skills with proficiency in a variety of programs including MS Word,
MS Excel, and MS PowerPoint, Excellent written, editing, and verbal communication skills with
the ability to present information clearly.
- You must have Salesforce experience.
- You have experience leading or staffing events.
- You have a Human Resources background.
Salary
The City of New York Office of the Mayor’s compensation package includes a market competitive salary,
equity for all full-time roles and exceptional benefits. Our cash compensation range for this role is
$75,000.
