Duties Description
Under the direction of the IES Resource Management Lead, the Student Assistant(s) will assist the Operations team with various activities including procurement of IT consultants, process documentation activities and administrative tasks.
Duties Include, But Are Not Limited To
- Assist with Tier II procurements using Office of General Services (OGS) centralized contracts such as Hourly Based Information Technology Services (HBITS), NYSTEC, and ITS Staff Augmentation Tier II procurement.
- Perform and assist with processing of consultant task orders, interviews, fingerprinting and security clearances
- Monitor, track and follow up on procurement status with various stakeholders
- Create, edit and assist in finalization of internal templates.
- Write and maintain meeting agendas and meeting minutes.
- Attend various project meetings and document stakeholder decisions and action items.
- Assist with Human Resource (HR) tasks and onboarding activities for new employees and consultants including equipment, accounts, badge access, etc.
- Assist administrative team with scheduling meetings and interviews of incoming staff.
- Assist with all phases of on and offboarding resources
- Assist with resource projections
- Assist with Internal Control coordination
- Assist with travel expense requests, review and reconciliation.
- Assist with ad hoc reporting and presentations for leadership team.
- Assist with COVID -19 return to work plan and implementation.
- Assist with tracking and office wide assistance with LATS and SLMS
- Special projects as assigned by IES Resource Management Lead.
- Current Graduate student maintaining a 3.0 GPA or better
- Proficiency with Microsoft Office, Visio, Access, Project and SharePoint
- NYS/NYC Government knowledge preferred
- Excellent verbal and written communication skills
- Health and Human Services experience
- Human Resources experience
- Career track in Government, contracts and procurement, Human Resources, Public Administration, or related field preferred
Minimum Qualifications
- Must be a US citizen or foreign national eligible to work in the United States
- Must be 18 years of age or older
- Must be currently attending a New York State college, university or graduate program, or be a resident of New York State attending a college, university or graduate program outside of New York State
- Must have completed a minimum of one (1) year as a student at a degree-granting two or four-year college or university (completion of one year’s worth of academic credits over a more extended period of time may qualify part-time students) OR currently enrolled graduate student or accepted in a graduate degree program
- Must have a minimum grade point average (GPA) of 2.0 or equivalent to a C.
