Position Summary:
We have an exciting opportunity to join our team as a Program Coordinator.

The Program Coordinator will support the administrative and clinical staff of the Bellevue/NYU Occupational Environmental Medicine Clinic (BNOEMC) and interact with clinic patients, prospective patients and other medical, community and legal services involved in patient care. The BNOEMC provides evidence-based treatment and prevention of work-related illnesses and injuries for workers served by NYC Health & Hospitals (NYC H H), the public hospital system in NYC.

Job Responsibilities:

Principal Job Responsibilities:

  • Work in team including BNOEMC physicians and staff to provide high quality patient care.
  • Answer phones, route calls/messages to appropriate contact, and schedule appointments from intake forms and NYC H H eConsults.
  • Help patients navigate the Workers Compensation (WC) system, in coordination with clinicians, WC board and WC attorney offices.
  • Support NYC H H patients access to occupational medicine resources and quality initiatives.
  • Provide administrative support for clinicians, managers and directors.
  • Assist with patient outreach and retention efforts.
  • Assist in project planning and management to guarantee the best patient care.
  • Collaborate with the rest of the team in complying with grant deliverables in a timely manner.
  • Help with purchases and procurement of supplies as well as inventory management.

Clinic Responsibilities:

  • Clinic coverage includes scheduling visits, greeting patients, assisting with in-person and remote patient visits, and gathering necessary information from patients.
  • Obtain consents and outside medical and other records, send out mailings to patients.
  • Prep patient encounters in EPIC ensuring that all relevant information for visit is up-to-date including intake questionnaire, referral requests and reports, blood and other test results, letters to employers, occupational environmental exposure reports, WC communications, and outside medical records. 
    • Ensure the appropriate translation services or equipment is in place prior to the start of visit.
    • Complete NYC H H and NYULH mandated trainings and maintain patient privacy per HIPAA standards.
  • Utilize EPIC functionality to review and update patient records as well as maintain communication with peers and supervisors related to patient care.
  • Assist BNOEMC staff with use of the medical portal of the NYS WCB.
  • Record minutes for patient medical rounds and document patients progress and team recommendations
  • Help patients navigate the Bellevue / NYC H H social work and financial assistance services. 
  • Collaborate with BNOEMC team to communicate recommendations to patients and employers to help ensure a safe return to work for patients.

Minimum Qualifications:
To qualify you must have a Bachelor's degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details.

Preferred Qualifications:
Excellent interpersonal communication skills including in-person, written and telephone communications with patients, as well as coworkers.
Proficiency in Microsoft Office including Word, Excel, Access, Power Point and Outlook.
Commitment to caring for the patients and populations served by the public hospital system.
Strong time-management, prioritization and team collaboration skills.
Familiarity with EPIC is strongly preferred. Further training in EPIC will be provided.
Bilingual Spanish/English.
Five years of experience in a patient care setting or equivalent experience.
Familiarity with the NY State WC system

Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $64,350.00-$70,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
