Overview:

The Oak Ridge National Laboratory (ORNL) is looking to fill the position of Privacy Associate. The role of the Privacy Associate is to support the ORNL Privacy Officer in the management and implementation of the ORNL Privacy Program. The goal of the Privacy Program is to facilitate the proper collection, use, management, and disclosure of personal information at the laboratory while fostering a culture that values privacy.

Major Duties/Responsibilities:

  • Support the Privacy Officer and work closely with mission and support organizations in implementing the elements of the Privacy Program.
  • Conduct activities related to the development, implementation, maintenance of, and adherence to policies and procedures (particularly related to personally identifiable information) in compliance with federal and state laws.
  • Monitor compliance environment and aide in motivating changes to ORNL's privacy program including ensuring continuous adherence to the Privacy Program's requirements.
  • Collaborate with key customers and peers in advancing privacy awareness, driving continuous program improvement, and maturing the capability to better meet and support ORNL's goals and objectives.
  • Maintain an internal review and reporting mechanism for intended (new or changed) personal data processing activities.
  • Work with internal organizations to support data governance and stewardship including an inventory of all privacy data, where it resides, any compliance gaps/risks, and protections in place to mitigate risk.
  • Coordinate ORNL's role in the Department of Energy privacy impact assessment process, in close collaboration with partners and subject matter experts.
  • Remain conversant with pertinent state and federal privacy laws. Advance regulatory and contractual compliance by participating in assigned working groups.
  • Ensure ORNL maintains the appropriate privacy and confidentiality consent procedures, authorization forms, and information notices.
  • Work with procurement, vendor management and the legal department to ensure that third-party suppliers' contracts and operating-level agreements meet privacy requirements.
  • Assist Privacy Officer in coordinating ORNL's response to privacy-related incidents.
  • Maintain documentation of compliance activities, such as complaints received or investigation outcomes.

Basic Qualifications:

  • BS degree or higher in legal, corporate compliance, cybersecurity, data privacy, data security/protection, or a related discipline and a minimum of 5 years’ professional work experience with at least 3 years in a field related to privacy and/or information security/protection. Equivalent combinations of education and experience will be considered.
  • A desire for and the ability to operate successfully in a culture that values teamwork and collaboration and celebrates organizational success.
  • Excellent analytical and problem-solving skills and a commitment to providing quality service to clients in a professional service organization.
  • Ability to develop and present briefings and trainings to employees and managers.
  • Motivated self-starter with the ability to work independently and to participate creatively in collaborative teams across the laboratory.
  • Ability to function well in a fast-paced research environment, set priorities to accomplish multiple tasks within deadlines, and adapt to ever changing needs.

Preferred Qualifications:

  • Certified Information Privacy Professional/United States (CIPP/US) certification by the International Association of Privacy Professionals (IAPP).
  • Experience working in a heavily regulated and/or audited environment.
  • An understanding of the DOE, as well as its facilities and management and operating contractor system.

Special Requirements:

  • Q clearance: This position requires the ability to obtain and maintain a clearance from the Department of Energy. As such, this position is a Workplace Substance Abuse (WSAP) testing designated position. WSAP positions require passing a pre-placement drug test and participation in an ongoing random drug testing program.
