Summary of Purpose
Develops and oversees procedures that efficiently utilize all campus facilities, including classrooms, instructional offices, student service, public areas, and outdoor property. Works with Deans' Administrative Specialists to assign classroom space. Coordinates with IT, Purchasing, and campus staff to arrange installation and replacement of technology, furnishings, and special equipment in accordance with College standards. Recommends and projects carpet / furniture replacement schedules and coordinates re-designation or revisions of space. Coordinates all requests for campus usage by non-campus personnel and external clients while adhering to College policies and Federal and State regulations. Performs facilities project coordination, phasing, and definition of scope when needed and works closely with Construction Management Company, architects, engineers, and trades professionals. This position is expected to work in a multi-cultural diverse working environment. A variable schedule that includes some evening and weekend work is required.
Typical Duties
This description is intended to indicate the types of duties and responsibilities requested of the employee assigned this title. It is not intended to be an exhaustive list of all the duties and responsibilities that may be required :
1. Schedules and supervises rentals / events at campus for internal and external use; assists in planning, coordination, and use of facilities; answers questions regarding facilities, reservations process, work order processes, media services requests, etc. and posts events on calendars when appropriate.
2. Analyzes and projects operational budget for facilities rentals; recommends estimated yearly budget for supplies, materials, services, and payroll including possible overtime required for known events.
3. Ensures that appropriate forms, paperwork, manuals, and policies are in place that ensure proper facilities operations and information access (predominately electronic); monitors and implements regulations governing use of campus facilities.
4. Serves as campus liaison for facilities-related projects in the capacity of owner's representative.
5. Provides diagrams and directions for event set-up.
6. Coordinates office assignments to include phone changes, computer relocations, appropriate furnishings, and key assignments / requests.
7. Implements and coordinates process of asset disposals / transfers.
8. Ensures ADA compliance, working with ACCESS to providing appropriate furnishings and accommodations in learning environments; eliminates physical barriers as needed each semester.
9. Develops and initiates RFQ / RFP process with Purchasing, when appropriate.
10. Maintains and publishes system for College and campus procedures / processes, striving for consistency and standardization; directs campus procurement of furniture and equipment with control, consistency, and in accordance with acquisition / replacement schedules in coordination with Purchasing.
12. Processes expressive speech requests; communicates requests to appropriate personnel; maintains logs and calendars of expressive speech requests.
13. Liaison to IT for installation of instructional technology.
14. Functions as campus liaison for construction / renovation projects; maintains College and campus standard for design, color, and quality standards.
15. Maintains inventory control and adjustments of fixed and non-fixed assets; provides recommendations for transfers and disposals; arranges moves or property disposals.
16. Reviews physical appearance of campus and equipment; prepares requisitions for repairs and purchases to improve campus appearance, as needed; works closely with departments, faculty, and staff on requests and requirements for service, equipment, locking systems, etc.; advises on applicable procedures and policies.
17. Represents campus' interests in determining facilities availability and the desirability of rental requests; intercedes with external contacts / renters to arrange accommodations and prepare contracts, when management level intervention is required.
18. Represents campus and College in community-related functions with other educational institutions.
19. Performs other related duties, as assigned.
20. Ability to work additional hours, as needed.
Knowledge and Skills Required
- Knowledge of general business practices and procedures
- Knowledge of marketing, budgetary and accounting procedures
- Working knowledge of computer and software as applied to scheduling and forecasting
- Experience in facilities project coordination and all facets of phasing
- Experience in defining scope of small projects and developing timelines in conjunctionwith Construction Management Company
- Proven experience in drafting and distributing RFQs and / or RFPs in concert withPurchasing for general equipment, furniture, and for purposes of moving and / or storing
- Proven skills in drafting layouts for temporary and / or permanent spaces
- Possesses good written and oral communications skills and the ability to interact positively with a broad spectrum of the community, faculty, staff, and students
Minimum Education and Experience
EDUCATION : Bachelor's degree.
EXPERIENCE : Five (5) years of experience in facilities operations.
