Job Overview:
**Job Summary:**
The Scheduler is responsible for creating and managing schedules for various stakeholders, including parents who work at home, staff for the day school program, staff for the evening after-school autism waiver program, and staff for the Saturday schedule. The Scheduler must be available and responsive within 24 hours to accommodate any schedule changes and must coordinate directly with staff and parents to find replacements for call-outs. Additionally, the Scheduler may be required to provide transportation by picking up and dropping off clients using the center's vehicle.
**Key Responsibilities:**
- **Schedule Management:**
- Create and manage weekly staff schedules for the day school program, evening after-school program, and Saturday staff.
- Create and manage monthly schedules for parents who work at home.
- Ensure schedules are communicated promptly and accurately to all stakeholders.
- Make real-time adjustments to schedules to accommodate call-outs, emergencies, and other changes.
- Maintain a system for tracking and reporting scheduling changes and patterns.
- **Coordination:**
- Collaborate with parents, staff, and management to address scheduling needs and concerns.
- Find and coordinate replacements for staff call-outs promptly to ensure program continuity.
- Work closely with other departments to align schedules with program requirements and client needs.
- **Transportation:**
- Provide transportation for clients as needed by picking up and dropping off clients using the center's vehicle.
- Ensure the vehicle is well-maintained, clean, and safe for client transport.
- Maintain accurate records of transportation activities.
- **Communication:**
- Maintain open and effective communication with staff, parents, and management regarding scheduling matters.
- Respond to inquiries and requests related to schedules within 24 hours.
- Provide clear instructions and updates to staff and parents about any schedule changes or requirements.
- **Administrative Duties:**
- Maintain accurate and up-to-date scheduling records.
- Prepare reports on scheduling patterns, staff availability, and other relevant metrics.
- Assist with other administrative tasks as needed to support the Autism Waiver Center's operations.
- **Additional Responsibilities:**
- Participate in staff meetings and training sessions to stay informed about program updates and policies.
- Ensure compliance with all center policies, procedures, and regulations related to scheduling and transportation.
- Provide support for special events and activities as needed.
*Qualifications:**
- High school diploma or equivalent; associate degree or higher preferred.
- Previous experience in scheduling, particularly in a medical or educational setting.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and handle multiple tasks in a fast-paced environment.
- Proficiency in using scheduling software and other computer applications.
- Valid driver's license and clean driving record.
- Flexibility to work occasional evenings and weekends as needed.
**Physical Requirements:**
- Ability to sit for extended periods and work on a computer.
- Ability to lift and transport clients as needed.
- Ability to drive the center's vehicle for client transportation.
