Main Office Manager/Executive Assistant
Oakwood Friends School, an independent, boarding and day college-preparatory school serving approximately 175 students in grades 6-12, is seeking a full-time Main Office Manager / Executive Assistant. As the main office manager, you will often be the first person someone speaks to and you will set the tone for people’s interaction with the school. You are the main point of contact for parents and students. As the executive assistant, you will provide confidential, consistent, and professional support to the head of school. Possessing excellent organization, writing, and editing skills and an ability to anticipate the needs of the office, a successful candidate takes the initiative to make the work of the head of school and interactions with the main office more efficient. Good natured patience and sense of humor are a plus.
Skills required:
- Excellent computer skills including Google and Microsoft suite, ability to format and run mail and email merges, tech savvy and able to maintain organized digital files.
- Welcoming and friendly nature
- Familiarity with phone systems and handling multiple phone lines
- Strong organizational skills with the ability to prioritize tasks effectively
- Ability to actively and thoroughly problem solve
- Excellent written and verbal communication skills
- Attention to detail for proofreading and editing documents
- Must be trustworthy, honest, responsible, and able to maintain confidentiality
- Previous office manager or executive assistant experience required
Responsibilities include:
- Manage and maintain Google Calendar for scheduling appointments and meetings
- Greet and assist visitors in the main office desk
- Proofread and edit documents for accuracy and clarity
- Perform clerical tasks such as filing, photocopying, and organizing paperwork
- Transcribe meeting notes and other important information
- Accurate data entry into various systems or databases
- Answer phone calls and direct them to the appropriate person or department
- Proficiently use Google Suite for email, document creation, and collaboration
- Reconcile small petty cash/student bank
- Maintain school store ("spiritwear" and related items) and do quarterly inventory
- Sort and manage incoming and outgoing mail
- Other administrative tasks as needed
Job Type: Full-time
Pay: $18.00 - $21.00 per hour
