About Us: We are a busy and dynamic OB-GYN practice dedicated to providing exceptional care to our patients. We are seeking a friendly, organized, and professional individual to join our team as a Front Office Medical Assistant / Phone Operator.
Job Summary: The Front Desk Receptionist/Phone Operator is the first point of contact for our patients and visitors. This role is crucial in ensuring a positive experience for our patients by providing excellent customer service, managing phone calls, scheduling appointments, and performing various administrative tasks.
Key Responsibilities:
- Greeting patients and visitors with a warm and welcoming demeanor.
- Manage a high volume of inbound and outbound calls, directing them to the appropriate provider or staff member.
- Schedule and confirm patient appointments using our electronic medical records (EMR) EPIC system, including routine check-ups, prenatal visits, and follow-up appointments.
- Verify patient information and update records as necessary while ensuring accuracy and confidentiality.
- Handle patient inquiries and provide information about our services.
- Collect and process patient payments, co-pays, and insurance information.
- Assist with administrative tasks such as filing, scanning, and faxing documents.
- Coordinate with medical staff to ensure smooth patient flow and timely appointments.
- Handle sensitive information with confidentiality and professionalism.
- Verify insurance information, obtain prior authorizations, and process claims.
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration or related field is a plus.
- Previous experience in a medical office or customer service role is preferred.
- Excellent communication and interpersonal skills.
- Strong organizational skills and attention to detail.
- Proficiency in using office equipment and computer systems, including EMR software.
- Ability to multitask and work efficiently in a fast-paced environment.
