The Advancement Operations department at Oberlin College invites applications for the position of Advancement Gift Processor (Departmental Technician) in the Office of Advancement. This is a full-time, 12-month, continuing Administrative Assistant position reporting to the Senior Director of Advancement Operations.
Responsibilities
Under the direction of the Senior Director of Advancement Operations, the Gift Processor is responsible for accurately processing and entering all gift and pledge information in the Advancement donor database. As a member of the Advancement Operations team, this position also shares responsibility for ensuring that all information contained within the donor database is both accurate and consistent.
Essential Job Functions
Coordinate and prioritize daily gift processing activities ensuring accurate processing and stewardship of gifts in compliance with industry standards and best practices.- Record gifts and pledges made to Oberlin College through various sources including the bank lockbox, online giving platforms, electronic funds transfers, and others.
- Administer gifts and donor information received through third party platforms such as donor advised funds, foundations, and matching gift programs.
- Verify the accuracy and completeness of gift and donor details, troubleshoot issues and reconcile gift batches.
- Work with the Operations staff, the Finance office, and other College offices to verify/clarify data, resolve discrepancies, perform adjustments, and maintain records of changes.
- Respond to inquiries from colleagues within Advancement and across campus regarding specific gifts and gift processing related information in general.
- Participate in the monthly reporting and reconciliation process with the Finance office.
- Perform data entry such as updating biographical information, applying specialized codes to individuals or groups, and creating new records.
- Assist in developing and implementing solutions for improving the processes and protocols related to gift processing and data entry.
- Monitor data integrity and participate in the correction and cleanup of the database.
- Perform daily administrative duties, including generating and mailing gift receipts, maintaining confidential gift documentation, opening mail, etc.
- Retrieve and organize gift documentation for the annual financial audit.
- Other related duties as assigned.
Marginal Job Functions
Required Qualifications
- High School diploma or GED and a minimum of 5-7 years of experience in an office environment.
- Excellent computer skills, particularly with the use of relational databases; competence with Microsoft Office applications, especially Excel.
- Strong attention to detail with a high degree of accuracy regarding data entry and the ability to identify and correct data inconsistencies.
- Demonstrated problem solving and analytical abilities.
- Strong interpersonal and organizational skills.
- The ability to work both independently and collaboratively as a member of the Advancement Operations team.
- Excellent customer service skills.
Desired Qualifications
- Associate or Bachelor’s degree in a related field.
- Familiarity with the field of Advancement.
- Experience with Blackbaud Raiser’s Edge NXT.
- Understanding of gift processing in a non-profit organization.
Compensation
This is a Pay Group 7 Dept. Technician position with an hourly rate of $28.87 per hour or the appropriate transfer or contractual rate and includes an excellent benefits package.
