What are the responsibilities and job description for the Medical Front Desk Coordinator - OB/GYN position at OBGYN south miami?
We are a OB/GYN Medical Office looking for a Receptionist to manage our front desk, perform a variety of administrative and clerical tasks including verifications of patient's insurance benefits and authorizations. At this position you will be the first point of contact in our company. Your duties include offering administrative support across the organization. To be successful you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role may require working in shifts, so flexibility is a plus. Ultimately, your duties and responsibilities are to ensure the front desk welcomes guests positively, all insurance benefits and authorizations are in time and correct, and execute all administrative tasks to the highest quality standards.
Responsibilities
- Greet and welcome guests as soon as they arrive at the office
- Check-in/check-out patients and process payments - collect balances/copays
- Identify and familiarize with types of patient's coverage: insured and/or self-pay and follow corresponding procedures
- Keep Athena system up to date regarding patients’ demographics, labs and imaging
- Direct visitors to the appropriate person and office
- Answer, screen, and route incoming phone calls.
- Confirm appointments by phone, email, and/or text messages. Update calendars and schedule meetings.
- Request and send medical records
- Ensure reception area is tidy and presentable, with all necessary stationery and material
- Provide basic and accurate information in-person and via phone/email
- Receive, sort, and distribute daily mail/deliveries
- Maintain office security by complying with safety procedures and controlling access via the reception desk (monitor logbook)
- Order front office supplies and keep inventory of stock
- Perform other duties such as filing, photocopying, scanning, and faxing.
- Review list of appointments 48 hours in advance and confirm insurance benefits.
- Review patient’s insurance eligibility status.
- Review Initial OB appointments weekly and prepare Maternity Benefits.
- Get daily Authorizations for previous day’s appointments.
- Review weekly procedures and get authorizations in advance.
- Review weekly appointments for Ambulatory Surgical Centers, Schedule appointments, complete and send forms. Confirm surgical appointments with patients.
- Update calendars and schedule meetings/lunches with Reps.
Skills
- High school degree or equivalent required.
- Proven work experience as a Receptionist, Front Office Representative, or similar role at a medical office.
- Experience dealing with insurance companies, obtaining benefits for patients and authorization is a plus.
- Responsible, detailed and punctual.
- Proficiency in MS Office Suite and EMR system, Athena preferably
- Hands-on experience with office equipment (e.g., fax machines, scanners, and printers)
- Professional attitude and appearance. Great customer service attitude.
- Solid written and verbal communication skills - Bilingual English/Spanish required.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills. Multitasking and time-management skills, with the ability to prioritize tasks.

Pay: $17.00 - $19.00 per hour
