JOB SUMMARY:

The Medical Legal Administrative Assistant will provide comprehensive support to the Executive Administrative Assistant and Business Development Coordinator. Key responsibilities include administrative tasks such as scheduling appointments, managing files, and handling calls and emails. The role also involves reviewing and summarizing medical records, managing invoices and accounts receivable, and ensuring accurate data entry. Strong communication skills are essential.

DUTIES AND RESPONSIBILITIES:

  • Provide support to the Executive Administrative Assistant and Business Development Coordinator.
  • Offer administrative assistance, including scheduling appointments, managing files, and handling calls and email correspondence.
  • Review medical records, create summaries and complete chronologies.
  • Manage and organize medical records efficiently.
  • Assist with invoicing and accounts receivable.
  • Accurately enter and manage data.
  • Demonstrate strong communication skills across various platforms.
  • Perform other duties as assigned.

EXPERIENCE AND SKILLS REQUIREMENTS:

  • College degree or equivalent relevant experience.
  • Medical/legal background preferred.
  • Ability to work independently.
  • Excellent time management skills, i.e., task management, prioritization and consistently meeting deadlines.
  • Clear, concise and articulate verbal and written communication.
  • Must be confident and effective in speaking with attorneys.
  • Ability to deliver high-quality service to meet and exceed customer expectations.
  • Proficient in Microsoft Office.

WORK ENVIRONMENT:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copy machines, filing cabinets and fax machines. The noise level is usually low.

PHYSICAL DEMANDS:

  • This is largely a sedentary role; however, the person in this role will occasionally move about inside the office to access file cabinets, office equipment, supplies, etc. This would require the ability to move files or supplies, open filing cabinets and cabinet doors/drawers and bend or stand, as necessary.

The person in this role:

  • Primarily enters text or data into a computer via keyboard. Devices may include traditional keyboard, laptop keyboard, multiple screens, mouse, telephone and others. This person occasionally operates other office equipment, such as a calculator, copy machine, computer printer, etc.
  • Must possess clarity of vision at approximately 20 inches or less (i.e. reading small print), including use of computers.
  • Occasionally communicates with attorneys, paralegals, adjusters, and nurse case managers primarily via email and occasionally via phone. Must be able to exchange accurate information in these situations.
  • Expresses or exchanges ideas by means of the spoken word to impart oral information to various parties and to convey detailed information.
  • Must have the ability to hear, understand, and distinguish speech in the following manners, one-on-one (in person), group or conference (in person or via video conference), and via telephone.
  • Occasionally lifts and moves supplies weighing up to 20 pounds.

Job Type: Part-time

Pay: $21.00 - $25.00 per hour

Expected hours: 20 – 31 per week
