Position Overview
The Staffing Coordinator is responsible for ensuring adequate staffing levels throughout the hospital to maintain high-quality patient care and operational efficiency. This role involves coordinating, scheduling, and adjusting staff assignments based on hospital needs, policies, and regulations. The Staffing Coordinator works closely with department managers, Charge Nurse and HR to manage staffing resources effectively while adhering to labor laws and collective bargaining agreements where applicable.
The ideal candidate will have the following:
Education & Experience:
- High school diploma or equivalent required; additional administrative or healthcare-related training preferred.
- Minimum of 1-2 years of staffing, scheduling, or administrative experience, preferably in a healthcare setting preferred.
Skills & Competencies:
- Strong organizational skills with attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in scheduling software and Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and collaboratively in a fast-paced environment.
- Knowledge of staffing principles, healthcare terminology, and labor law compliance preferred.
Key Responsibilities:
Staffing Coordination:
- Create and maintain employee schedules for nursing and other assigned departments, ensuring proper shift coverage.
- Monitor staffing levels daily and adjust as needed based on call-offs.
- Track and manage time-off requests, shift trades, and availability changes.
Communication & Collaboration:
- Communicate staffing needs and changes to department managers and supervisors promptly.
- Serve as the point of contact for staff scheduling concerns and resolve conflicts efficiently.
- Work closely with HR and department managers to ensure staffing practices comply with hospital policies and labor agreements.
Data Management & Reporting:
- Maintain accurate records of staff schedules, attendance, and overtime.
- Prepare staffing reports and metrics for leadership review.
- Assist in tracking and reporting agency usage and associated costs.
Compliance & Policy Adherence:
- Ensure compliance with federal and state labor laws, including rest and meal break regulations.
- Adhere to hospital policies, procedures, and any collective bargaining agreements.
- Support emergency staffing needs during incidents or disasters, following hospital protocols.
