Summary:

The Project Manager is responsible for overall project planning, budgeting, scheduling and execution of a variety of projects. In some instances the project will be run by the Project Manager and in larger projects the Project Manager will act as an Owner's Representative. The Project Manager will be responsible for all elements of a project and will need to work closely with other internal departments in determining project scope. 

 

Essential Duties and Responsibilities                                                  

Assist in contract negotiation and execution and the preparation of RFP's and bid specifications for projects as assigned

• Perform a key role in project planning, budgeting, and identification of resources needed

• Assist in tracking and updating project budgets; ensure pay applications are complete and accurate, process pay applications, invoices and purchase requisitions as they are received

• Inspect projects for the purpose of ensuring compliance with plans, specifications, safety, local codes and ordinances and Ocean Reef Club rules and regulations

• Responsible for proper administration of construction contracts and ensuring necessary permits and licenses are obtained

• Coordinate the efforts of all parties involved in the project, which may include architects, designers, engineers, contractors, sub-contractors, laborers and Ocean Reef associates for the purpose of reviewing progress against goals, resolve issues, manage project risk and ensuring that all phases of the project meet criteria and specifications

• Monitor project activities (i.e., costs, time and materials, schedules, budgets, change orders, etc.) for the purpose of ensuring direct objectives are achieved within budget and timeframes

• Prepare written materials (i.e., correspondence, memos, budgets, costs, bid invitations, calendars, schedules, etc.) for the purpose of documenting activities, providing written reference and/or conveying information

• Maintain project files and prepare periodic reports as directed

• Responds to inquiries (i.e., Ocean Reef associates, local inspectors, contractors, architects, members and guests) for the purpose of providing required information and/or referring to the appropriate source

• Assist in locating and/or preparing temporary, alternate sites for needed storage or other facilities during the work

• Track and control construction schedule and associated costs to achieve completion of project within time and monies allocated

• Manage completion of final punch lists and project turnover to operations

• Source FF&E and finishes, vendor pricing, preparation of FF&E specification manuals, supervise FF&E installations, monitor design, specifications and shop drawing approvals

• May requisition supplies and materials to complete project

  

Education and/or Experience                   

Experience in the hospitality or private club environment with 5 years planning and/or management experience

• Knowledge of all phases of building construction, including work commonly done by the various building trades/sub-contractors

• Proven ability to document, propose and present comprehensive project plans, schedules, budgets and recommendations

• Proficient in Microsoft Office, Word and Excel, simple accounting, data base management, spreadsheets, email and internet

• Demonstrated ability to complete projects on time and within budget

• Able to adapt to change, flexible

• Must be able to follow policies, processes and direction with accuracy and efficiency

• Must be a quick learner with attention to detail

• Must have strong organizational and filing skills - both electronic and print material

• Must be self-motivated, able to prioritize tasks

• Must be able to work 40 hours per week with some evenings and weekends to meet project milestones

 

Language Skills                                                

Must be able to comprehend the English language in order to communicate with co-workers and fully understand job assignments.
