JOB SUMMARY:
Supervises distribution for a large food service program serving up to 1,000 meals per day. Acts as the liaison for equipment, vehicle and facilities related matters. Provides full, direct supervision to distribution staff and volunteers. Carries out duties in accordance with Agency policies and program regulations.
JOB DUTIES AND RESPONSIBILITIES:
Client Management Related Responsibilities:
- Manages client lists and changes and ensures the proper quantity of food is delivered to the correct consumer timely and according to specifications:
- Compiles client information prepares lists weekly for each route.
- Receives and distributes meal counts for Delivery Services Assistants, maintains client lists and manages changes.
- Communicates referrals and cancellations to drivers/routes as changes arise.
- Ensures client information from the drivers is referred to the proper staff and vice versa.
Quality Assurance and Supervisory Responsibilities:
- Performs quality assurance hot and cold temperature checks on each home delivered meal route weekly.
- Oversees in collating, packing and distribution of prepared hot meals.
- Insures proper temperature of foods during loading and transportation.
- Monitors loading of vehicles for route deliveries.
- Monitors vans and ensures drivers keep vehicles clean and orderly.
- Ensures equipment such as hot boxes, cords and fuses are well stocked and in good repair.
- Acts as supervisor for all Distribution related operations.
- Ensures adequate daily coverage including coordinating substitute coverage for distribution.
- Ensures staff follow the proper safety, food sanitation and dress codes and the OCO Driving and Safety policy and procedure.
- Handles leave time requests, time sheets, staff coverage and performance coaching/appraisals; participates in hiring and corrective discipline.
- Provides assistance and guidance to substitute drivers in the absence of regular drivers.
- Assesses daily needs and concerns; tracks and analyzes information and makes adjustments independently to ensure to smooth operations.
- Ensures site orientation and that training requirements are met for new and existing staff.
- Plans and conducts regular staff meetings of assigned staff.
General and Administrative Responsibilities:
- Monitors facilities related needs concerns and acts as the point person for program staff with the Facilities Manager and landlord.
- Oversees and schedules maintenance and repairs of vehicles, large kitchen and meal equipment.
- Works within policies and procedures and program regulations.
- Fills in as needed on established routes; reports any client related occurrences, incidents or concerns to appropriate Agency staff.
- Performs other related duties as require; participates in cross-training of other division food services positions; covers for production supervisor as assigned.
- Oversees all inventory and storage for distribution equipment and supplies.
- Reviews and assigns work, handles concerns and contributes to solving operational difficulties.
- Maintains required records for submission to supervisor including inventories, production sheets, route temperature sheets, meal count sheets and meal distribution paperwork/records.
- Works within Agency policies and procedures and ensures compliance with Health Department regulations, Agency dress code and related requirement.
- Works cooperatively with the Dietitian and other management staff; works collaboratively with Production Supervisor.
- Assesses situations and applies critical thinking skills; consults with supervisor or other managers on more serious issues.
JOB REQUIREMENTS:
- Must have knowledge of food service regulations including NYS Sanitation Codes; must be able to apply the fundamentals of nutrition as they apply to the population of the program.
- Must have working knowledge of food service and catering and have the skills to manage kitchen production and distribution for up to 1,000 meals per day.
- Must have working knowledge of computer software: word processing, spreadsheets, databases, business e-mail.
- Must have good oral and written communication skills and be able to relate well with others.
- Must foster a team environment.
- Must be an effective leader and supervisor, be a good role model to staff and be able to monitor and direct the work of others effectively.
- Attends ongoing training, education and meetings for skill enhancement and maintenance in food safety and sanitation.
- Must be able to lift 35 lbs. or more regularly.
- Must be flexible with duties and work schedule and be extremely organized.
- Must have a valid NYS Driver's License with a good driving record within Agency policy; must have access to a vehicle for related travel.
MINIMUM QUALIFICATIONS:
- Associate’s Degree in a Food Services related field; and
- 3 - 5 years of large scale food preparation experience including supervisor/leadership experience; or
- Course work in an educational/technical institution in foods, nutrition and food service management with an internship with extensive food service and supervisory/leadership experience and extensive; or
- Any equivalent combination of education, experience and training.
