DEPARTMENT | ROLE DESCRIPTION:
The Executive Assistant to the CEO plays a critical role in supporting the Chief Executive Officer by managing administrative functions, ensuring seamless communication, and anticipating organizational needs. This position requires a high level of professionalism, discretion, and proactive problem-solving to serve as an extension of the CEO—acting as a gatekeeper, facilitator, and strategic partner.
This role also provides essential support to the Chief Banking Officer in areas such as reporting and calendar management, while maintaining strong working relationships with the Executive Leadership Team (ELT) and Board of Directors.

- Manage the CEO’s calendar, ensuring optimal time management and prioritization of commitments.
- Serve as a gatekeeper, screening requests and managing access to the CEO.
- Anticipate needs, upcoming deadlines, and potential conflicts before they arise.
- Prepare and refine presentations, reports, and documents with a high level of accuracy and professionalism.
- Handle confidential information with the utmost discretion.
- Facilitate communication between the CEO and internal/external stakeholders.
- Coordinate travel, accommodations, and itinerary details.
- Provide seamless logistical support for meetings, engagements, and speaking events.
Board & Leadership Team Coordination:
- Assist in organizing Board of Directors meetings, preparing materials, and ensuring timely distribution of documents.
- Serve as Assistant Secretary to the Board, accurately recording and maintaining board and committee meeting minutes.
- Work closely with the CEO and ELT to coordinate leadership meetings, track key action items, and follow up as necessary.
Support for the Chief Banking Officer:
- Assist with reports, presentations, and special projects as needed.
- Manage calendar coordination to optimize efficiency and strategic planning.
Operational & Administrative Excellence:
- Act as the CEO’s "eyes and ears," ensuring awareness of key priorities, issues, and opportunities.
- Work with vendors to coordinate logistics for events, meetings, and activities.
- Provide high-quality customer service and professional communication to all internal and external stakeholders.
- Ensure all administrative processes are organized, efficient, and aligned with company standards.
- Identify opportunities to improve workflow and implement best practices.
- Raise a hand when help or clarification is needed, demonstrating a proactive and solutions-focused mindset.
- Prioritize and manage multiple tasks while maintaining attention to detail and meeting deadlines.
