What are the responsibilities and job description for the Executive Assistant position at Oconee Valley Healthcare?
RESPONSIBILITIES:
The position of the Executive Assistant provides optimal support to C-Suite.
1. Maintain confidentiality in all aspects of patient, staff, and company information.
2. Maintain a calendar of the C-Suite’s activities, meetings, and various events.
3. Schedule and attend meetings, take notes, and record minutes.
4. Interact with clients, vendors, and visitors as needed.
5. Answer telephones, take messages, and/or transfer to appropriate staff members.
6. Open, sort, and distribute incoming correspondence.
7. Perform general clerical duties to include, but not limited to, copying, faxing, packaging, mailing, scanning, and filing.
8. Maintain conference room, executive conference room, breakroom, and company car usage schedules for the organization.
9. Maintain various administrative, reference, and follow-up file system(s)
10. Maintain petty cash box and records. Follow protocols for petty cash as directed.
11. Maintain Board of Directors files, track due dates for follow-up with board members, and handle other tasks related to the Board as directed.
12. Track policy renewal dates and notify appropriate Executive member of renewal term, track policies for signatures and scan and upload into Compliatric software when completed.
13. Assist with site visit preparation as directed.
14. Perform other related duties and responsibilities, as required.
EDUCATION, ESSENTIAL SKILLS AND EXPERIENCE:
Minimum of two years administrative experience preferred. High school diploma required. Strong organizational skills and the ability to work as a team member in a focused, fast-paced, multi-faceted environment; ability to think independently and provide input to smoother operations of tasks. Strong ability to maintain confidentiality in all aspects. Ability to manage and relate to individuals from varied social economic backgrounds. Broad administrative skills and leadership ability.
Requires sitting or standing for long periods of time. Ability to stoop, kneel, bend at the waist, and reach on a daily basis, as well as the ability to lift and move up to 25 pounds occasionally. Working under stress and use of the telephone required. Manual dexterity required for use of calculator, computer keyboard, and other office machines. Proficient in the use of Word, Excel, PowerPoint, and Outlook software. Hearing and vision corrected to normal range. Must be a team player and possess excellent customer service skills. Background check and drug screen required.
