We are seeking a Medical Receptionist for our premier Oculofacial Plastic Surgery practice. Our practice focuses on both cosmetic and functional concerns involving the eyelids, face, tear ducts, and eye socket. We offer a wide range of services including facial surgery, botulinum toxin injections, fillers, chemical peels, and laser skin rejuvenation.
The ideal candidate is warm, personable, and highly organized—someone who enjoys providing excellent patient service in a fast-paced, team-oriented environment. An interest in aesthetics and skincare is a plus!

Responsibilities:
Patient-Facing Duties:
- Greeting patients and visitors: Providing a warm and welcoming experience.
- Answering phones and directing calls: Efficiently handling inquiries and routing calls to the appropriate staff.
- Checking patients in and out: Verifying patient information, updating records, and ensuring a smooth check-out process.
- Scheduling and confirming appointments: Managing the appointment calendar and reminding patients of upcoming visits.
- Assisting with patient questions and concerns: Providing information and guidance to patients and their families.
- Maintaining a clean and organized reception area: Ensuring a comfortable and professional waiting area for patients.
Administrative Duties:
- Managing patient records: Keeping patient information organized and confidential.
- Processing payments and billing: Assisting with co-pays, insurance verification, and managing patient accounts.
- Filing and scanning documents: Maintaining accurate records and ensuring proper document/photo management.
- Communicating with insurance companies: Assist our billing department with verifying eligibility and processing claims as needed.
- Assisting with other clerical tasks: This may include preparing paperwork, faxing documents, and maintaining office supplies.
- Following up with patients: Reminding patients of follow-up appointments and providing necessary information.
Qualifications and Experience:
- 2 years of experience as a medical receptionist or in hospitality preferred, but willing to train the right candidate
- 2 years of customer service experience preferred
- Minimum high school diploma or GED; college students or graduates preferred
- Experience with Practice Management software (scheduling),EMR (electronic medical records), and Microsoft Word/Excel preferred
- Excellent spoken and written English and typing skills
- Previous experience in an aesthetics field or aesthetic medical specialty is a plus
- Any experience with customer service, photography, social media, and aesthetician services is a plus
- Foreign language abilities in Japanese, Ilocano, Tagalog, Cantonese, Mandarin, or Vietnamese is a plus
